APA! locally rescues, treats, and adopts out 10,000 homeless dogs and cats each year, providing the safety net for Austin's most at-risk shelter pets, which helps Austin to be a no-kill city, while also assisting other communities in saving homeless animals. The organization is distinguished by the scrappiness of its grassroots, non-traditional community-based animal rescue work. The organization continues to innovate best practices to save sheltered lives and teaches its renowned no kill lifesaving model to 400 students annually, who attend apprenticeships at APA!'s Maddie's® Lifesaving Academy, and to hundreds of animal welfare professionals who attend the organization's annual American Pets Alive! conference.

The Medical Clinic Team Manager at Austin Pets Alive! is a strategic leadership position that helps manage the day-to-day operations of a bustling, around the clock veterinary practice that serves our fostered and onsite animals. This position helps keep the clinic focused on our core no-kill philosophy, while providing excellent customer service and high-quality medical care. The Medical Clinic Team Manager reports directly to the Medical Clinic Program Senior Manager and defers to the Medical Director for medical-related decisions.

During the initial 90-day period, the Medical Clinic Team Manager supervises clinic receptionists and data entry staff. Upon completion of training, they will assume responsibility for leading the case management team.

This is a full-time, exempt position, and the schedule includes evenings and weekends, with on-call duty as needed.

ESSENTIAL FUNCTIONS:

  • Serves as the manager-on-duty on assigned shifts, with responsibility for overseeing the day-to-day functions of the clinic staff and its programs, ensuring operations are in line with specific policies as well as overarching organizational goals and values
  • Assists in creating and implementing goals, objectives, policies, procedures, and systems to improve efficacy and efficiency of care. If any of these would end up affecting other parts of the department, the Team Manager must consult with the Program Manager and Medical Care Director.
  • Manages staff including scheduling, payroll, supervising, disciplinary action, one on one's for personnel development.
  • Maintains effective communication among case managers, receptionists, veterinarians, directors, data entry, volunteers, and other department personnel.
  • Works with the Medical Clinic Program Senior Manager to focus on customer service improvements; resolves customer complaints and facilitates interdepartmental communication to address issues as they arise
  • Assists with supply ordering.
  • Re-prioritizes and triages daily operations to deal with emergency situations as they arise
  • Helps maintain record-keeping and procedures in accordance with DEA, OSHA, and Department of Health requirements
  • Works with the accounting department to manage business credit cards, invoices, payments, and cash logs
  • Strives to advance personal managerial talent by seeking appropriate learning opportunities and completing learning opportunities provided by the organization

OTHER FUNCTIONS:

  • Attend and participate in all required training sessions and meetings
  • Maintain open and consistent communication with Program Manager or designee, supervisor, and other colleagues
  • Partner with Volunteer Managers to learn about the volunteer programs and manage volunteers interested in your department on an ongoing basis
  • Able to react to change productively and perform other related duties as assigned
  • Able to work evenings, weekends, and holidays as needed
  • Able to work in a high volume, fast-paced, high-stress environment

QUALIFICATIONS, SKILLS & EXPECTATIONS:

  • Must portray characteristics of professionalism at all times
  • Excellent computer skills and proficiency in Word, Excel, Google Docs, Google Sheets, and Google Drive
  • Must have at least one year of veterinary technician experience
  • Must have at least one year of management experience.
  • Effective oral and written communication skills and experience in negotiating and de-escalation
  • Excellent interpersonal skills and professionalism, even in times of high stress
  • Skills in database management and record keeping
  • Self driven and ability to work quickly on tasks
  • Must be able to identify and resolve problems in a timely manner
  • Must be able to gather and analyze information skillfully
  • Must be comfortable working with animals of varying sizes and temperaments
  • Strong organizational and time-management skills in order to prioritize competing, multiple tasks simultaneously
  • Effectively copes with change, shift gears comfortably, and can decide and act without having the total picture

PHYSICAL JOB REQUIREMENTS:

  • Must be able to routinely lift 40-50 pounds
  • Must be able to walk around shelter as needed - uneven ground, keeping a safe distance from dogs and handlers

WORK ENVIRONMENT:

  • Work is normally performed inside the APA! Medical Clinic; with exposure to environmental conditions that include working with and near animals
  • Rapid pace with exposure to potential hazards including animal waste, disinfectants, and high levels of noise as well as Potential for animal bites and scratches and diseases that can be transmitted from animals to people
  • Uses own transportation to travel and transport
  • Occasional after-hours or weekend work may be required to support program needs
