The position plays a critical role in constructing the environment (both live and virtual) for the ultimate member experience. Reporting to the Member Experience Director, this position is responsible for assisting in the planning and execution of event logistics. This position requires 30- 50% travel.

The ideal individual will have a strong passion for world-class quality and attention to detail, and thrive in a fast-paced, dynamic environment.

Key Responsibilities

  • Assist with the logistical planning, coordination and execution of virtual and live and in person summits and W50 special programs
    • Develop and manage logistics timeline for each summit
    • Work closely with member services team to ensure master lists are created and updated in a timely manner
    • Assist in developing and managing event related-collateral (e.g. welcome card, menu, maps, etc)
    • Will assist with packing and unpacking supplies for gatherings
    • Coordinate lodging and transportation as needed
    • Travel to summits and W50 special programs (as needed), and assist with onsite logistics
  • Will be required to input costs and invoices into Salesforce promptly and accurately as well as monitoring reporting and spend related to specific codes.
  • Conduct site visits as needed to secure locations for gatherings
  • Assist with maintaining vendor relationships and related contracts
  • Attends all necessary meetings
  • Assist with Member Experience initiatives that help to build a better and more productive team such as but not limited to:
    • Datapine and the collection and input of data from World 50 Membership Virtual Programs
    • Salesforce and the process of updating Member Experience related items such as creating new accounts, updating vendor pages, and general tasks

Key Qualifications & Proficiencies

  • Highly organized, creative and attentive to detail; able to manage, prioritize and bring to completion multiple projects
  • Excellent interpersonal skills, flexibility to accommodate different situations and temperaments
  • Demonstrate poise and grace under pressure
  • Ability to present self to C-level executives with confidence and professionalism
  • Strong work ethic and willingness to take ownership for wide-ranging responsibilities
  • Persistence, resourcefulness, drive, and ability to work proactively and independently
  • Superior quality and service standard
  • Excellent communications skills, both interpersonal and written
  • Solid computer and analytical skills
  • Experience using G-Suite

Education/Experience

  • Four-year degree in Hospitality, Communications or related field
  • A minimum of 2 years, or 4 years part time, of experience in events logistics
