The Wholesale Coordinator is responsible for the day to day operations of the wholesale department and supporting the fulfilment of wholesale orders and projects, focusing on providing a seamless consumer journey and elevated experience for each account.  This role reports into the Senior Wholesale Manager.

 

Main Duties…

Sales and planning

  • Own the wholesale order book and appointed sales trackers, monitoring stock to accommodate orders taken as forward and weekly replenishment.
  • Raise wholesale orders and issue confirmations, communicating delivery deadlines with all clients and suggesting adjustments, changes and new line opportunities when needed.
  • Provide customer invoices, credits and ensuring all relevant delivery & invoicing portals are updated accurately and on time.
  • Attend the daily logistics WIP to communicate weekly priorities and work with the warehouse teams to ensure seamless delivery of orders through to clients within communicated timelines.
  • Create effective product line-lists & captivating decks in accordance with the company standard format to instigate up-selling opportunities and range extensions.
  • Work closely with Merchandising, supporting the Senior Wholesale Manager with stock forecast submission to ensure allocation of stock is correct and supports delivery of partner strategies.
  • Participate in weekly Finance meetings to monitor debtors and keep track of payment terms.
  • Ensuring all supporting master copies of contacts, order forms, imagery decks and pricing grids are up to date internally and externally.
  • Work collaboratively with Logistics, Operations, Merchandising and Finance to ensure customer requirements are met and live orders are accurate.

Customers’ Accounts

  • Communicate clearly and effectively with wholesale accounts delivering excellent customer service and responding to all queries on a timely manner.
  • Build and maintain relationships with wholesale account merchandising & buying teams.
  • Identifying upselling opportunities and order increase sales for key accounts across categories.
  • Anticipate risk on the weekly / monthly / quarterly performance and raise this to leadership
  • Support the planning and execution of special projects within wholesale accounts, for example Pop Up or Retail Activations.
  • Support the Senior Wholesale Manager to set up and execute seasonal wholesale

Reporting

  • Delivering trade notes each week to support the Senior Wholesale Manager and the wider team on visibility of orders taken and dispatched week on week.
  • Collate weekly ST results and perform regular store visits to keep track of customers account performance and space set up, providing support on VM & store training to key accounts.
  • Work with the Senior Wholesale Manager to create Monthly Wholesale recaps in the form of presentations to be shared with the Trading Director and the wider leadership team
  • Supporting the Senior Wholesale Manager to set up and conduct showroom seasonal sales

 

What We Are Looking For…

  • 2+ Years' experience in a similar role
  • Homeware experience advantageous
  • Ability of driving sales growth
  • Good Excel and numerical skills
  • Can do Attitude and ability to problem solve
  • Experience managing luxury wholesale accounts globally
  • Results orientated with an ability to adapt quickly to changing circumstances.
  • Effective communicator at all levels (verbal & written)
  • Highly organised individual with attention to detail and ability to prioritise workloads
