The Team
The Travel & Expense department takes care of almost every part of the process from the moment an employee needs to make a booking to travel until their expenses are fully approved and ready for payment, among other topics
The Role
As a Travel & Expense Specialist (Fixed-term Contract; 6 months), you will report to the Travel & Expense Operations Manager in Madrid, supporting the team in various departmental tasks, with a primary focus on travel and expenses-related responsibilities.

The work you’ll do:
Travel:
- Guide employees in booking travel arrangements such as flights, hotels, and ground transportation using our booking tool.
- Monitor travel bookings for issues or complaints, escalating concerns to ensure prompt resolution.
- Support the Travel Manager with the Preferred Vendors Program, including hotel negotiations, contract management, and rate uploads to the booking system.
- Collaborate with the sustainability team on carbon accounting and eco-conscious travel initiatives.
Event Support:
- Partner with the Global Events team and other departments to coordinate travel logistics for company events.
- Contribute to event planning by assisting with budgeting, drafting guidelines, creating invitations, and more.
Expenses:
- Review and process employee expense reports, ensuring compliance with company policies.
- Flag and escalate policy violations when necessary.
- Respond to inquiries related to travel and expense processes.
- Manage the Corporate Card program administration.
Other
- Act as a primary contact for employee support, delivering excellent service to both internal and external stakeholders.
- Maintain and update content on the intranet and standard operating procedures (SOPs).
- Create and facilitate training sessions and materials for employees as needed.
- Identify and report technical issues, coordinating with the relevant IT teams or external vendors for resolution.

- Handle ad-hoc tasks and support audit and reporting needs.
- Administer relevant systems as required.
- Continuously seek and implement opportunities for process improvement.
The qualification you need:
- BA and/or MA Degree, preferably in Finance, Economics, Tourism, or similar.
- At least 1 year of experience in business travel, finance, or the administration industry
- Business fluency in English is a Must-have. (Applications in Spanish will be automatically discarded). Other European languages are a plus.
- Target-driven, quick learner, curious, proactive, and resourceful.
- Organized, detail-oriented, and analytical.
- Resilient, assertive, and able to challenge multiple Stakeholders & Leadership in decision-making.
