About the Opportunity

Facilitates and coordinates small and large events that are held offsite and onsite, including tradeshows, sales conferences, and tours of our facilities. Responsible for end-to-end event coordination, including event registration, planning of marketing promotions and materials, coordinating shipping and receiving of materials, budget tracking, and ROI reporting. Assists Sales Leadership with coordinating meetings, running sales reports, and supporting offsite sales team members.

In this role, the successful candidate will:
  • Leads end-to-end planning and execution of events, including tradeshows, sales conferences, industry group meetings, road shows, facility tours, and study clubs.
  • Coordinates tradeshow participation including working with hotels and convention centers to ensure booths, ballrooms, room blocks, AV, food and beverage, and other logistics are contracted on time and to specifications.
  • Leads cross-functional planning meetings to discuss goals of events, customer experience, concept conversations, promotional plans, sponsorships, display designs, materials development, education courses, ship lists, and shipment of materials.
  • Understands the complex needs of different events and diverse clients.
  • Manages and oversee tours, including problem-solving, welcoming guests, communicating with staff, organizing vendors, and managing set-up and take-down.
  • Submits follow-up paperwork for continuing education for tradeshows and Argen education events.
  • Prepares event presentations and materials and distribute monthly reports.
  • Tracks, analyzes, and summarizes event budget.
  • Attentive to budget while planning event specifications.
  • Demonstrates ability to both lead and delegate event planning tasks where necessary.
  • Orders Argen's product samples and sources free gift merchandise for events.
  • Ensures effective and timely communication with marketing and sales team.
  • Anticipates and plans for possible divergent scenarios.
  • Assists head of sales and sales team with a variety of support requests including reporting leads and opportunities generated from events and calculating ROI.
  • Demonstrates strong written and verbal communication skills.
  • Other duties as assigned.
What does it take to be successful?
  • High School diploma or equivalent required, plus one year experience, or equivalent combination of education, training, and experience. Bachelor's degree in a relevant field preferred.
  • Previous event planning experience required (1-3 years).
  • Experience working with hotels, convention centers, and in house teams strongly preferred.
  • Have an eye for display design to amplify the brand and ensure a memorable customer experience.
  • Organized and detail oriented and ability to manage the logistics of multiple events and people simultaneously.
  • Experience working cross-functionally with in house departments and external vendors.
  • Strong Microsoft Office software skills, including Excel and PowerPoint.
  • Experience with Constant Contact, MailChimp, or other email system, and Survey Monkey.
  • Experience with CRM, Salesforce is preferred.
  • Ability to influence other team members for positive results.
  • Some travel required.
  • Ability to learn technical concepts by reading work instructions and standard operating procedures, and completing on-the-job training.
  • Knowledge of cGMP regulations ISO 13485, 21CFR Part 820, CMDR SOR/98-282, 93/42/EEC, RDC 16 2013, MHLW MO 169 and TG(MD)R Sch3 preferred.
