Job Description

What is it all about?

We are seeking an enthusiastic and highly organized Office Manager to join our team in Frankfurt! In this key role, you will support both our local team and the Regional Office Manager Central Europe in the smooth day-to-day running of our Frankfurt office. Your strong organizational and communication skills will be essential as you handle a variety of administrative tasks, manage onsite services, and ensure Health & Safety standards are met. As the first point of contact for colleagues, you will represent our company with professionalism, a friendly and positive attitude, and a well-presented manner. What we expect of you, day to day:

  • Site Operations
  • Manage onsite services (cleaning, catering, maintenance, office supplies)
  • Space planning
  • Site Security, Safety & Environment
  • Health & Safety tasks (Visa + country-specific requirements)
  • PO/invoice processes and local vendor relations
  • VIP & Executive site visits
  • Support onboarding and access for new joiners
  • Oversee reception and visitor experience
    • Stand-in receptionist  

 

  • Operations
    • Monitor and maintain office supplies inventory
    • Maintain a safe and secure working environment respecting all health & safety regulations (Visa rules and regulations, German labor law), implementing all required inspections, trainings and drills
    • Effectively and successfully respond to problem situations
    • Provide Reception support & management of legal documents
    • Organise staff events
  • Security and H&S:
    • Guarantee a clean and safe office, liaising with contracted services and vendors, and ensuring that they comply with Visa standards (both Security and H&S)
    • Be the point of contact for Security London and the Health & Safety Teams
    • Respond to special incidents
    • Dispose correctly of confidential waste
    • Support the Crisis Management Team onsite
  • Facilities:
    • Manage relationships: vendors, service providers and landlord
    • Manage Ask Corporate Services & Office Hub use and petitions
    • Ensure application of OM Playbook
    • Participate actively in any facilities renovations or expansions, as well as routine maintenance
    • Maintain supply inventory
  • Finance
    • Prepare and fulfill OPEX budget
    • Ensure correct utilization of purchase card (including expense reports), Purchase Orders & invoice support
    • Provide strong support in audit processes

Qualifications

What we're after...

  • Bachelor's Degree or diploma in business, management, finance or hospitality (nice to have)
  • 5 or more years of admin and office management experience in very busy and international environment, covering regional activities, and regional offices 
  • experience in supporting large events, supporting facilities for other Offices/Hospitality/Executive Assistance
  • Experience cooperating with the senior stakeholders.
  • Great communication skills and working under the pressure
  • English and German on Advanced level at least
