Job Description

Receptionist

-Ensure front desk is tidy and has all necessary stationery and material and ensure company’s policies and security requirements are met every time.

-Receive visitors courteously (projecting a good image of the company), and direct them to the appropriate employee and ensure timely and accurate customer service

-Handles all incoming & outgoing mails including documents/parcels for local and overseas courier.

--Maintain proper filing system, Coordinate with vendors for office supplies, Coordinate the maintenance and repair of the office premises, Coordinate the office catering, and perform other related duties as required.

General Administration

-Performs general administrative tasks (e.g., arrangements for meetings and other events, follow-up on matters requested by employees), to include preparing /or processing administrative requests of documents (e.g., requisitions, purchase orders, contracts, Company certificate, expenditure authorizations, Invitation Letter etc.).

-Performs other related administrative duties, as required (e.g., monitoring accounts and payment to vendors and individual contractors for services; physical space planning; physical inventory inspection, identification of office technology needs and maintenance of equipment, software, and systems; organizing and coordinating the Communications Technology.

-Deal with employee requests regarding other issues (Office Stationary’s & Supplier, Office decoration, Gift to clients i.e., Flower basket, Wreath, Mooncake).

-Coordination with Manager, consultants, sub-contractors, Technical and relevant authorities of office matters and check of building rental / maintenance other in the Office and surveillance / complaint about problems that have not been comfortable from the building.

Accountant

-Prepare computation tax with the Indian team for WHT reimbursement via GMBS cycle’s months and updated monthly and quarterly the spreadsheets for taxation (P.N.D 54, P.N.D 53) for WHT reimbursement claims to the clients.

-Responsible for overall accounting task (Billing, Invoices, Credit Note, Tax invoices, Receipt and Withholding Tax) for monthly and follow up on outstanding Tax invoices.

-Support the Office Manager to prepare financial statement for Visa Thailand to Account Payable team headquarter in Singapore every month.

- Cooperate with auditor (making report and support auditor's requirement)

What you will need:

  • 3+ years of administrative experience
  • Meticulous, highly motivated and portray a sound business ethic.
  • Excellent verbal and written communication skills in English
  • Has strong reporting, documentation and presentation skills.
  • Able to effectively communicate at a staff level and senior management level.
  • Must be able to multitask and prioritize work.
  • Must have an analytical mind - be able to analyze situations and offer solution to common problems.
  • Able to work on own initiative and independently.

What will also help:

  • Be able to respond / action escalation utilizing the knowledge base in Incident tickets, websites, and documented process/procedures.
  • Strong ability to apply efficient decision-making, problem-solving and technical skills.
