FACILITIES MANAGER

Shift: M-F 8 a.m. – 5 p.m., available as needed for emergencies

Location: Seattle, WA

Remote (Required to be local and to travel, on occasion, outside the Seattle area)

90k-100k/yr including 10% bonus

The role of the JLL Facility Manager is to ensure the proper operation of all aspects of the assigned portfolio of facilities in accordance with the terms of the Master Service Agreement and Facilities Statement of Work. All JLL facility services are managed in accordance with account and client standard processes and procedures, ensuring superior customer satisfaction while displaying our JLL Core values of Teamwork, Ethics and Excellence.

The Facility Manager (FM) must establish, operate, and maintain a comprehensive Facility Management program which manages and oversee the Operations and Maintenance of a portfolio of buildings of on-site client staff and visiting maintenance contractors that operate and maintain the Buildings, Building Systems and Equipment.

This role oversees and proactively manages the daily site operations of an ~150,000 square foot portfolio of facilities in WA, HI, and ID and reports to the Senior Facilities Manager.

The FM will work closely with other functions in the business to support business goals to drive best in class and innovative service. And will liaise with the client and their internal facility operations teams, safety teams, project teams and building occupants to drive client satisfaction.

ROLE RESPONSIBILITIES:

CLIENT

  • Customer satisfaction and relationship building is key to the success of this role.
  • Provide the lead role to monitor customer satisfaction to meet targets.
  • Ensure Client Satisfaction by providing a seamless interface with the Client’s Corporate RE&WS team; demonstrate leadership, responsiveness and creativity.
  • Support the Senior Facilities Manager and the Project Management team in the implementation and hands-on management of facilities projects.
  • Support Regional Facilities Manager and Regional Engineering Services manager on special projects or areas of focus to ensure high client satisfaction.

OPERATIONAL

  • Coordinate the operational aspects of the property in a manner which protects, maintains and improves the value of the client’s assets.
  • Ensure compliance with Jones Lang LaSalle minimum audit standards.
  • Ensure all site management and operations practices are in compliance with JLL and client standards.
  • Manage preventive, ongoing and anticipated maintenance/repair programs.
  • Life Cycle Asset Maintenance – work with JLL Regional Engineering to ensure all critical equipment PMs are completed as per schedule. And assist in the development multi-year capital improvement project plans.
  • Develop and manage a high performing facilities team of diverse skilled tradespeople. Maximizing utilization of suppliers, preferred vendors/contractors and the level of spending with Minority/Women owned Business Enterprises (M/WBE).
  • Manage third-party vendor contracted services as required, including periodic bidding and insurance updates.
  • Coordinate discussions with each vendor or supplier regarding goal setting, performance criteria, and performance review.
  • Actively manage work orders daily in the CMMS tool/Corrigo to meet set response and completion targets.
  • Ensure all safety and environmental standards are strictly adhered to within managed facilities.
  • Ensure compliance with portfolio wide initiatives and required local, state and federal laws and regulations that pertain to the operating of facilities.
  • Develop and implement innovative programs/processes that reduce short- and long-term operating costs and increase productivity. 
  • Source local services and goods needed to perform day-to-day operations through 3rd party suppliers. This includes obtaining contract SOW, obtaining necessary vendor set up forms and reviewing certificate of insurance for compliance.
  • Collaborate with Sourcing team on national and regional sourcing opportunities to define scope, coordinate supplier walk-through, and manage national and regional supplier performance at the property level.

FINANCIAL

  • Develop and manage facilities operating budgets for the assigned portfolio, proactively track variances and manage within target.
  • Oversee the appropriate monthly/quarterly/annual financial reporting for the client.
  • Provide monthly/quarterly variance reporting and forecasting on operating budgets per required schedule provided by Finance.
  • Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors and identify additional efficiency opportunities, consistent with client goals.
  • Assist in the development multi-year capital improvement project plans with your JLL Regional Engineering partner.
  • Actively manage invoices and vendor actions needed daily in the CMMS tool/Corrigo.
  • Other tasks as assigned.

QUALIFICATIONS:

  • Bachelor's degree or equivalent combination of education and facilities management experience.
  • 5+ years of facilities management or operations experience.  Knowledge of building systems, HVAC, electrical, mechanical and services, etc.
  • Friendly, customer service focused with a positive mindset and team player attitude.
  • Dependable, with excellent time management and organizational skills.
  • Ability to communicate effectively in both excellent oral and written communications/reporting.
  • Proficient with Microsoft suite including Excel, Outlook, Word, Adobe Acrobat, etc.
  • Superior client relationship management skills.
  • Strong supervisory, people and customer management skills.  Ability to work as a Team.
  • Ability to plan and manage financials within budget and time constraints.
  • Experience with managing multiple vendors and small capital projects.
  • Computer proficiency with Computerized Maintenance Management System (CMMS).
  • Certified Facility Manager (CFM) or other professional licenses or certifications a plus.
