Role Description/Position Summary

Manage and supervise Administration & Facilities activities for Mumbai, Navi Mumbai, Pune , Chakan, Nashik

Responsibilities

  • Drive and own administration functions like Office management, travel, transport, Hotel, Guest house, Cafeteria, Travel, Security, Housekeeping, utility services ,space management
  • Evaluate and execute the Infrastructural projects including Design reviews & BOQ. Project estimation, technical evaluation, and adhering to the project deadlines.
  • Coordinating with Real estate brokers and landlords for new facilities and lease renewals.
  • Prepare SOW for MEP and associated works, inspect, and sign off on completion
  • Developing, Planning, and management of MEP activities and preventive maintenance
  • Responsible for Capital & Expense budgeting. Monitoring costs, and analyzing variances.
  • Manage the contracts related to the Administration, Facilities & Project functions.
  • Inventory management of all consumables & MIS of the consumption patterns.
  • Ensure to adhere to Local and Global EHS practices all the time.
  • Identify and develop strong vendor relationships that are reliable and cost-effective.
  • Own and drive Event management and VIP visits.
  • Oversee lease Agreements, Service contracts, and Statutory compliance requirements of the facilities and ensure to align with local government regulations.
  • Coordinating with Business Units for Audit requirements like ISO / ISMS / GMP.
  • Conduct due diligence, Risk Assessment of Office space in line with statutory guidelines.
  • Build and maintain relationships with local government bodies as it relates to site and community issues.
  • Establish and deliver energy and waste strategies to meet Business needs of cost and sustainability.
  • Preparation of MMRs and MIS reports as per the client requirements and attending the monthly reviews, KPI meetings, and vendor assessments reviews.
  • Supports process improvement (PPI) projects.
  • Supports EHS targets Net zero & sustainability

Minimum Educational & Experience

  • Graduate or Facilities Management degree with relevant experience.
  • Professional with 7-plus Years of experience in Administration, Facilities & Real Estate Management services including Engineering maintenance operations.

  • Good written and verbal communication skills.

  • Must have excellent managerial /personal skills
  • Strong problem-solving mindset.
  • Strong interpersonal and statistical Analyzing skills
  • Excellent computer skills and proficiency in preparing documents and presentations.
  • A self-starter leader and reliable deliverer
  • Excellent organizational skills with the ability to deliver to set deadlines
  • Ability to work under pressure
