Senior Administrative Assistant for Actuarial (Middle & Large Business, Global Specialty & Actuarial Information Services)

Overview of the Position
The Senior Administrative Assistant will provide a full range of administrative support to the Vice President & Chief Global Specialty Actuary, the Vice President & Chief Middle & Large Business Actuary, and the Vice President of Actuarial Information Services, including their respective teams within The Hartford's Actuarial organization. The Senior Administrative Assistant will ensure the departments run efficiently and will handle a variety of administrative, leadership, and special project responsibilities with a high degree of competence. The position will report directly to the Vice President & Chief Actuary of Global Specialty.

Responsibilities:
Leadership support to include:
- Maintain and schedule calendar appointments with both internal and external constituents
- Act as Gatekeeper for leaders' calendar
- Act as proxy for assigned leaders for company systems (expense reporting, Concur Travel, Workday, etc.)
- Assist in monitoring of reports (budget, staff allocation, etc.)
- Monitor and maintain leaders' email communications as appropriate and/or requested
- Communication on behalf of leader to all levels of staff
- Coordinate visitor itineraries and arrangements
- Create materials for distribution to internal and external customers, including SharePoint site management and administration
- Maintain a high level of confidentiality at all times
Administrative support to include:
- Maintain organizational charts in a timely manner
- Serve as principal Workday or other "Power User"/Subject Matter Expert for the customer group
- Coordinate domestic and international travel arrangements and complete expense reports for leaders as needed
- Act as a coordinator for various departmental training and support new hire onboarding activities as needed (e.g., ordering equipment, reserving space, coordinating with managers)
- Coordinate office supply ordering and equipment requests
- Provide administrative support for the Actuarial Student Program (e.g., semi-annual Student rotation moves, coordination of presentations, summer internship support, etc.)
- Plan and coordinate all Advanced Leadership Training Program (ALTP) courses
- Assist in planning, coordinating and executing various department-wide events with up to 300 internal/external/remote attendees (e.g., Actuarial team building event, Actuarial Leadership Summit)
- Prepare information using the appropriate format to be used in presentations
- Assemble, distribute, and print presentations for various meetings and forums
- Complete other ad hoc duties or special projects as requested (e.g., coordinate office moves for those moving in and out of the department)
Experience & Skills
- High school diploma required. Some college preferred.
- 2+ years of experience supporting individuals in mid to upper-level management
- Strong understanding of and/or desire to learn about supported business operations and specific business requirements
- Strong organizational and communication skills, both verbal and written
- Anticipates obstacles and finds solutions accordingly
- Ability to multi-task effectively and prioritize work in a fast-paced environment
- Maintains up to date knowledge of hardware and software enhancements on company systems
- High proficiency in Workday and in all MS Office applications, including, but not limited to: Word, Teams, Outlook, PowerPoint, and Excel
- Strong understanding of internet navigation for project related research/work
- Ability to work independently and in a team environment, and ability to form networks of individual relations spanning multiple business units throughout the organization
- Superior customer service skills for both internal and external customers
This role will have a Hybrid work schedule, with the expectation of working in an office 3 days a week (Tuesday through Thursday).
Compensation
The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford's total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:
$64,800 - $97,200
