Description

MDAR: The Massachusetts Department of Agricultural Resources mission is to cultivate a robust and equitable agricultural economy, promote a safe and resilient food system, and preserve a healthy environment for Massachusetts farmers, animals, and consumers.

The Operations Coordinator works with both the Commissioner's Office and the Fiscal Office and is responsible for managing the Commissioner's calendar, assisting with preparing Boards and Commissions' materials for public meetings, attending public meetings as assigned and taking meeting minutes. Manages the agency's Southborough office and works on special projects as assigned. In addition, the Operations Coordinator assists the Chief Financial Officer with agency vehicle fleet management, coordination of records retention and destruction, and serves as point of contact and administrator for employee travel requests. This position is a hybrid work schedule with the ability to telework on Mondays and Fridays. With in-person office assignment in Southborough on Tuesday, Wednesday, and Thursday.

Commissioner's Office:

  • Operations Coordinator to the Commissioner's office, responsible for managing the Commissioner's schedule, managing travel arrangements, providing administrative and clerical support to the Commissioner's office which includes the Commissioner, Deputy Commissioner/Legislative Director, and the Deputy Commissioner/Chief of Staff, to ensure the effective and efficient operations of the office.
  • Responds to inquiries from oversight and sister agencies, agency staff, and constituents using various forms of communication. Works on special projects as assigned.
  • Assists with managing Boards and Commissions and preparation of materials for public meetings, including maintaining board members appointment status and contact information, prepares public meeting agendas, posts meeting notices, prepares meeting documents and materials, and distributes meeting materials to board members. Attends public meetings and drafts and edits meeting minutes for review by Commissioner's Office.
  • Prepares various letters and documents, maintains electronic files in an organized and efficient manner. Maintains hard copy paper files, as needed, while striving to transition the office from a paper system to digitalization.
  • Office Management - Manages and staffs the Southborough office, greets visitors and guests during public office hours, manages the conference rooms' schedules, ensures the office is properly stocked with supplies and materials, and that all equipment and systems function properly. Liaison to the landlord, building maintenance and vendors. Ensures a clean, organized work environment.

Assists the Chief Fiscal Officer:

  • Agency Fleet Manager ensures optimal vehicle utilization and consistent reconciliation of WEX card and EZ pass usage.
  • Administers travel requests ensuring all required documentation is accurate and complete and obtains signatures from EOEEA.
  • Other duties as assigned.

Qualifications

MINIMUM ENTRANCE REQUIREMENTS:

Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.


III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
