The TA Recruitment Co-Ordinator (International) will provide highly efficient and proactive support to an exceptionally busy, fast paced team, which is continually changing. The main criteria for the role will be to administer processes for recruitment and ensure that an excellent overall service is provided at all times.

This will require a highly-organized and detail-oriented individual who is able to manage multiple tasks in an efficient way. The role will provide support to the International Talent Acquisition team (shoreside and shipboard teams), with the objective of efficiently and successfully coordi-nating various internal recruiting administrative activities. The TA Recruiting Coordinator may support the recruiting process by, scheduling interviews, assisting the recruiters with the hiring process, ensuring completion of background verifications, preparing offer letters and sending and receiving new hire paperwork, among other activities.

The successful candidate will have strengths in diary management, coordination of meetings, of-ten working with complex time zone, organizing arrangements and the ability to accommodate changing priorities. This person must have a strong understanding of all aspects of administration, be able to multi-task, work under pressure and have the ability to communicate with all levels, internally & externally.

Essential Duties and Responsibilities:
  • Act as a dependable point of contact for recruiters, candidates and hiring managers during the hiring process.
  • Acts as a candidate experience ambassador, ensuring a positive experience at all touch points in the hiring process.
  • Assist International Recruiters with recruiting initiatives (e.g., department open houses, social media outreach, initial CV sifting etc.)
  • Liaise with the Marketing Team to assist with the creation of media content to support recruitment & sourcing efforts, helping to maintain / enhance employer branding
  • Explores current trends and best practices in the market in the recruitment and staffing, making sure that the company is at par in terms of these best practices and trends
  • Assist in the execution of various campaigns and programs for recruiting activities in universities, industry tie-up (i.e. Job Fair or Career Fair), government assisted initiatives (i.e. DOLE portal, Pub-lic Employment Assistance Units, and the likes), and other similar arrangements to continuously build a stable talent pool
  • Schedule interviews and arrange travel for candidates as needed.
  • Complete expenses for candidate travel
  • Ensures effective flow of the pre-boarding process for all new hires in order to fully enable them on their first day with the company.
  • Manage all required pre-boarding & on-boarding responsibilities, to include producing offer letters & contracts, managing background & medical check processes, completion of all legally re-quired paperwork for new starters, payroll & benefit information etc.
  • Ensure completion of background verification and credentials as required, producing weekly re-ports for TA Leadership team.
  • Forward necessary paperwork to selected candidates for completion and ensure all signed forms are returned, compile appropriate paperwork and creating personnel files.
  • Coordinates with different departments (i.e. Facilities, IT and hiring manager) on tools, work-station and access needed
  • Maintain all relevant TA and HR software in real time
  • Produce recruiting, onboarding and background reports on a weekly basis
  • Proactively track completion of probationary reviews and probation confirmation letters
  • Help to build and maintain talent pipelines for both niche & volume roles, including supporting Graduate and Intern schemes.
  • The recruiting coordinator will be expected to follow all policy and processes within TA and HR
  • Ensuring that SLAs are met and that quality targets are reached and maintained

Qualifications:
  • Relevant previous experience working in a dynamic fast paced corporation.
  • Educated to higher education level or equivalent relevant qualification preferable.
  • High level of confidentiality & discretion essential
  • Must have excellent organizational skills
  • Exceptional written and verbal communication skills, clear & precise communication at all levels of the organization are essential
  • Previous experience in an administration role is essential.
  • Essential to have the ability to effectively prioritise workload, multi-task and meet deadlines.
  • Must have a friendly, approachable manner.
  • Must be able to work under pressure with the ability to remain calm
  • Must have excellent computer skills, competent use of Microsoft Office is essential.

  • Knowledge of Applicant Tracking Systems and HRIS preferred.
