What you will do

PGIM Real Estate is seeking an experienced executive assistant who will provide support to the Head of PGIM Real Estate's Loan Services, and the Loan Services team. The ideal candidate will have a high level of motivation, attention to detail, and proven partnering skills. They can expect to work independently with minimal direction, which will require proven prioritization skills.

This team follows a hybrid schedule with on-site expectations of 3 days a week in our office in downtown Dallas, TX.

What you can expect

  • Calendar management and travel for the Head of PGIM Real Estate's Loan Services and members of the extended team as needed. This requires coordinating changing schedules and preparing for meetings and conference calls by having all related documentation and logistics in place.
  • Arrange and coordinate travel schedules and logistics to include the processing of vouchers and general office operating expenses.
  • Coordinate and arrange on and off-site meetings by preparing agendas, reserving and preparing facilities, and recording and transcribing minutes of meetings.
  • Handle telephone and/or written contact with external and internal associates.
  • Provide general administrative support - typing, photocopying, calendaring, vouchers, and maintaining supplies.
  • Develop and edit manager's presentations, typically in PowerPoint.
  • Conduct research and compile information for multiple types of statistical reports, using various software, including MS Office. Prepare outgoing mail and correspondence, including e-mail, faxes and overnight packages.

What you will bring:

  • 6+ years of experience as an Executive Assistant in a fast paced and demanding environment
  • Proficiency at Microsoft Office applications (Word, Excel, and PowerPoint)
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner.
  • Strong initiative, good judgment, and the ability to effectively multi-task.
  • Excellent interpersonal and communication skills; proven editing and proofreading skills.
  • Ability to work well and partner with other administrative and professional staff.
  • Flexibility to work overtime on an as needed basis is required.
