We are looking for an experienced HR Operations Specialist based in our new Jacksonville, Florida office. The HR Operations Specialist partners closely with senior HR team members on the administration and coordination of day-to-day human resources and operations and activities.

Essential Functions and Key Responsibilities:

  • First point of contact for general HR-related inquiries and requests for assigned client groups, escalating when appropriate
  • Facilitation of new joiner orientation and coordination of onboarding activities ensuring a positive onboarding and employee experience
  • Enters employee data while maintaining and ensuring data integrity across all HR systems and applications, including SuccessFactors and ADP Workforce Now; researches and resolves inconsistent or inaccurate data once identified; performs regular audits on HR data
  • Prepares and maintains employee files/records, performing periodic audits as necessary; manages purge schedules in accordance with applicable legal requirements
  • Coordinates pre-hire and employee onboarding process, including submitting and monitoring background investigations, receiving and auditing new hire paperwork, submitting IT tickets, completing I-9 verifications, and other onboarding activities
  • Assists with leaves of absences and ADA accommodations ensuring compliance with federal and state laws while coordinating with third-party leave administrator and disability carrier
  • Follows-up on incomplete employee training assignments and other employee tasks
  • Prepares and delivers various reports from our HRIS and payroll system
  • Plan and manage employee special events
  • Coordinates employee offboarding process, including submitting IT tickets, disabling badge access, preparing exit paperwork and coordinating with payroll for final check preparation
  • Facilitation of training classes, as required
  • Coordinates various HR-related projects with the wider HR team
  • Implementing best HR strategies and practices and maintaining HR rules
  • Helping to ensure positive employee relations

Experience Required:

  • Bachelor's degree in Business, Human Resources or related field or relevant experience in lieu of a degree
  • Minimum of two years of human resources experience in a coordinator or specialist capacity
  • Experience with a large-scale HRIS or HCMS, preferably SuccessFactors
  • Experience with payroll systems, preferably ADP Workforce Now

Skills and Knowledge Required:

  • Working knowledge of and practical experience with a variety of human resources practices, and federal and state employment laws
  • Strong Word, Powerpoint and Teams skills; intermediate to advanced Excel skills
  • Highly analytical with strong problem-solving skills
  • High-level of attention to detail
  • Self-starter with the ability to complete tasks and projects independently with minimal direction
  • Highly ethical, reliable and accountable
  • Ability to effectively communicate and collaborate with all levels in the organization
