We are searching for a highly adaptable, motivated, and execution-oriented temp-to-hire Executive Assistant . This EA will be responsible for supporting our Chief Insurance Officer and 4 VP-level executives. Our ideal candidate will have 5-8+ years of experience supporting C-Level & VP-Level executives, and you’ll hit the ground running providing detailed support as their EA, as you are a self-starter who requires minimal supervision and direction. The role demands exceptional organizational skills, proactive problem-solving, strong attention to detail, and the ability to anticipate and address the needs of a dynamic, fast-paced executive team. The successful candidate will be a central figure in maintaining the efficiency and effectiveness of our leaders. You’ll report directly to the Senior EA & Team Manager, who is based out of our Palo Alto office.
What You’ll Do:
- Manage day-to-day calendars & organize meetings, appointments, expenses, and travel for the CIO & VP-level executives and their teams.
- Organize & handle incoming meeting requests and correspondence through multiple channels, and manage sensitive information with discretion.
- Review important tasks and identify/prioritize urgent matters that require an immediate response.
- Attend meetings to compile notes and complex data from meetings. Create and maintain various databases and spreadsheet files. Track progress and completion of action items and provide reminders.
- Plan and coordinate internal & external meetings in multiple time zones, as well as organize dinners and offsites. Frequent coordination & collaboration with our team in Israel will be required.
- Assist teams with presentations and various tasks as needed.
- Collaborate with other Executive Assistants on key company events, offsites, meetings, and executive scheduling.
- A key challenge for this role will be to support multiple time zones, including scheduling changes for team members operating in different parts of the US, Israel and Germany.
What We Need:
- Proficient in Google (Gmail, Slides, Sheets, Docs), Microsoft Office Suite (PowerPoint, Excel, Word) & Zoom.
- Proven ability to work well independently, intuitively, and able to anticipate needs.
- Exceptional verbal and written communication skills, including the ability to effectively convey complex information and liaise between executives and various stakeholders.
- Excellent organizational skills, attention to detail, follow-through, and accountability.
- Able to multitask in a fast-paced start-up environment & with multiple time zones.
- 5-8+ years of experience.
- BA/BS degree preferred.
- Hours: 8am-5pm (dependent on time zone), Monday through Friday.
The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including, without limitation, job-related skills, experience, and relevant education or training.
