The Marketing & Office Administrator will provide overall support to the marketing department and daily office administrative tasks to ensure functionality and coordination of the department's activities.Primary Responsibilities:Marketing * Prepare and create presentations/charts using PowerPoint ensuring that brand and compliance guidelines are met. Advanced PowerPoint skills a must. * Responsible for submitting marketing collateral/presentations to compliance system for review and approval. Monitor and track all marketing materials/presentations using a compliance management system to ensure that the company complies with all legal requirements. * Generate quarterly marketing materials (pitchbooks, fact sheets, commentaries) using Seismic system and review materials to ensure accuracy before submitting to compliance system. * Compose and post online content on the company's website and social media accounts, participate on the firm's monthly Social Council meetings. * Responsible for managing and updating digital campaigns (i.e. mass emails) and following up with marketing executives quarterly regarding analytics and reporting. * Compose and send out quarterly internal firm newsletter. * Assist team members in organizing charitable events, external firm events, etc. and attend them to facilitate their success. * Update/maintain CRM database and external marketing data base with firm data.Office Administration * Maintaining office cleanliness and safety, coordinating with IT on equipment and network issues, and maintaining vendor relationships. Be primary contact for office personnel in reporting any light outages, problems with doors locking, etc. * Responsible for maintaining the production printers. Primary liaison with printer vendor. This includes weekly color calibration, monitor copier readiness and paper supplies. * Printing and mailing of client books/marketing presentations. * Sales Page - Support WRAP department with Excel-based data entry into Sales Page for assigned model platforms. * Second in line for phone coverage and greeting guests upon arrival. * Serve as back-up to assigned team member.Job Requirements: * The ideal candidate is self-motivated, proactive, detail-oriented, receptive to feedback and learns quickly * Excellent demonstrated written, proofreading and research skills * Excellent organizational and project management skills * Ability to work consistently within established timelines * Prior office experience or related internship preferred * A strong communicator with the ability to balance a variety of responsibilities * Proficient using Microsoft Outlook, PowerPoint, Excel * Proficient in Adobe Creative Cloud a plus * Proficient in Salesforce a plusWHAT YOU CAN EXPECT FROM MORGAN STANLEY:We are committed to maintaining the first-class service and high standard of excellence that have defined Morgan Stanley for over 89 years.
