The Role

This position is a critical support role to the Talent Acquisition Leader in Japan, designed to enable hiring acceleration and operational excellence. By providing accurate management information, managing core operational processes, and acting as a central point of coordination between internal and external stakeholders, this role will help to drive the ongoing transformation of our talent acquisition function.

The role working as part of the Japan Talent Acquisition team will include:

Talent Acquisition Data & Reporting Coordination:

  • Partner with Recruitment Process Outsourcing (RPO) providers to validate and ensure accuracy of weekly hiring reports.
  • Respond to data and information requests from Business Unit Leaders, HR partners, and TA operations teams.
  • Collaborate with the Workforce Solutions team on cross-functional reporting and data support needs across TA and broader workforce initiatives.

Executive Presentation & Communication Support

  • Prepare, review and update presentations for weekly business unit meetings using the latest TA data and insights in partnership with our RPO Partners.
  • Proofread business review presentations to maintain a high standard of quality and accuracy. Refer to prior presentations to ensure changes requested have been made and actions captured.

Offer Management & Documentation

  • Collaborate with the global compliance team and RPO partners to draft and update offer letters in the local language.
  • Maintain and update the offer forecast tracker with accurate offer and acceptance data.
  • Ensure timely follow-up with RPO team members to keep all tracking documents current.

Supplier Management & Contract Operations

  • Manage third-party agency invoices by validating placements in Workday and coordinating with procurement to initiate Purchase Orders.
  • Handle agency inquiries related to payments and contracting terms, working closely with procurement and finance teams.
  • Oversee the onboarding process for new suppliers, coordinating with the TA Leader to ensure timely follow-up and documentation.
  • Submit necessary contracts and documents for internal approvals and company seal processing.

Process & System Support

  • Provide guidance to hiring managers on Workday usage during requisition creation.
  • Respond to TA-related questions through the Employee Portal, including referrals, interview processes, and cost center guidance.
  • Support the distribution of weekly referral campaigns across the business

Invoicing & Compliance

  • Liaise with local and global finance teams to validate TA-related spending and ensure proper cost attribution.
  • Review and confirm accuracy of spend reports and support budgeting conversations with Finance and Procurement.
  • Assist HR in producing local reports required by government agencies.

Immigration & Administrative Support

  • Coordinate visa documentation, including preparing and mailing required forms to immigration agencies.
  • Sign and process relevant legal or HR documents as needed in support of immigration or onboarding.

Who You Are

  • Proficiency in data handling, reporting, and validation (e.g., Excel, or similar tools).
  • Attention to detail and accuracy in managing reports and tracking documents.
  • Clear written and verbal communication skills in both Japanese and English.
  • Ability to coordinate effectively across internal teams (TA, HR, Procurement, Finance) and external partners (e.g., RPO providers, agencies).
  • Comfortable creating and proofreading presentation materials with a focus on clarity and professionalism.
  • Proven ability to manage multiple operational tasks simultaneously and meet deadlines.
  • Bachelors Degree
