Join our dynamic team in the heart of Paris as a Business Assistant in the Payments sector of our Commercial & Investment Bank, where your skills will drive success.

As a Business Assistant in our Payments team, your day will be filled with diverse tasks and impactful interactions. You'll play a crucial role in coordinating meetings, managing schedules, preparing documents, and facilitating communication among team members, ensuring the seamless operation of our team. Your exceptional organizational skills and proactive approach will streamline processes, enabling our bankers to deliver top-tier results.

Job responsibilities

  • Manage advanced, proactive diary - facilitating swift set-up of client meetings both in-person and telepresence set up, and handle all logistics for client meetings, including taxi and room bookings, and printing
  • Manage complex, high volume email
  • Handle professionally client interactions, maintaining a high level of confidentiality both internally and externally
  • Coordinate intricate travel arrangements, including flights, check-ins, VISAs, accommodation, and transportation, adhering to Corporate Policy, and manage frequent last-minute changes
  • Organize all aspects for offsite conferences and external events, including catering and transportation
  • Process expenses, reimbursement and personal amounts owing (Concur)
  • Navigate internal systems and trainings, staying informed about Corporate Policy (Cross-border, Compliance, Security travels, expenses)
  • Collaborate with marketing teams for client events, including calendar alignment, nomination processes, invitations, and follow-ups.
  • Become an integral part of the business, understanding group priorities and Banker expectations, skillfully manage interactions with senior stakeholders
  • Partner with assistants across the CIB group locally and internationally to provide coverage during absences where necessary

Required qualifications, capabilities, and skills

  • Professional client handling and relationship-building skills with all clients and cover groups
  • Fluent in French and English with strong, executive communication style (written and oral) in both languages
  • Full competency in diary management, with the ability to understand competing priorities
  • Advanced organizational skills, ability to meet deadlines, demonstrate proactivity and ownership, and exhibit a positive, common-sense, constructive attitude to drive senior management schedules and manage time effectively
  • Experience of effectively arranging travel, production of accurate itineraries, plan B & C, able to navigate systems well and apply good judgment on how to optimise travelers time
  • High attention to detail and the ability to deliver high-quality results
  • Polished, professional approach, calm and composed manner, ability to work in a pressured environment, team player with potential to act as a role model and lead by example
  • Can follow up without prompting and keep one step ahead of arrangement and requirements, displays good use of initiative and follow through to completion
  • Is a team player who can build networks and work in partnership - solution orientated, and can quickly grasp the political landscape and key people within the organization
  • Proficiency in Microsoft Office
  • Has an understanding of the culture of a Commercial & Investment Bank
