Job Description

This is a fixed-term position for one year.

Primary Function of Position:

This role provides administrative and logistical support for the organization of DACH and BeNeLux marketing and sales events in coordination with local marketing and events team. Additionally, this position will aid in the creation of events collaterals and organize referral management activities, reporting to the Assoc. Manager Marketing Programs DACH.

Roles and Responsibilities:

Events

  • Coordinate truck events for the DACH & BeNeLux region.
  • Manage all task related compliance activities.
  • Organize metropolitan region activities driven by sales (location, accommodation, system, speakers).
  • Provide support to Marketing Event Team Members with the organization of tradeshows.

Marketing Communication

  • Coordinate translation verification with sales team.
  • Route new collaterals in Veeva and ensure quick turnaround times related to Sales Events.
  • Support creation of new brochures, flyers, and information material.

Mobile Truck System

  • Update truck and event calendar for DACH & BeNeLux.
  • Support the floating equipment pool for the DACH & BeNeLux region.
  • Further develop and optimize floating equipment booking processes.
  • Coordinate demo products.

Administrative Tasks

  • Monitor budget and financial follow up for these events and align with Assoc. Manager Marketing Programs DACH.
  • Create contracts, new vendors, process Purchase Orders (POs) and invoices, for these events and get managers approval and signatures.
  • Prepare and send speaker fees agreement and organize their travel & accommodation when applying.
  • Support monitoring and long-term planning of events.

Qualifications

Required Knowledge, Skills, and Experience:

  • Apprenticeship or bachelor’s degree or equivalent experience in event management, marketing, preferably acquired in an international, fast paced and changing environment.
  • 1 year work experience in events management and / or marketing.
  • Languages (spoken and written): German native speaker, fluency in English required, Dutch or French is a plus.
  • Good interpersonal, verbal, and written skills coupled with ability to interact with a variety of departments and customers (marketing, sales, market access, and healthcare professionals).
  • Strong organizational skills and ability to work in a team-environment providing cross- functional support.
  • A keen ability to coordinate projects, organizing, prioritizing, and coping with various tasks.
  • Flexible and reliable, and strong attention to details.
  • Good knowledge of the MS Office product suite.
  • Travel up to 10% -15% required, mostly in the DACH & BeNeLux region (including weekends).
