Overview

The Program Manager will be responsible for the planning and execution of all internal events (conferences, incentive trips, recognition programs, and training) for Insight Global. This role involves overseeing the full-life cycle of event management, including (but not limited to) registration (travel/accommodations), marketing & communication, on-site execution, vendor coordination & management, budget tracking & reconciliation, etc. They will collaborate with internal cross-functional teams, external vendors, & executive stakeholders. They will ideate & execute successful event programs, playing an integral part in the teams' mission to curate world class experiences that inspire, empower, & transform the people of Insight Global.

Responsibilities

Day to Day Responsibilities:

  • Acts as primary liaison and team-lead for all internal stakeholders, cross-team partnerships, & external vendors.
  • Conduct & attend meetings (avg. of 12-16 calls a week) to drive deliverables as needed amongst planning team.
  • Create & manage event project plans, timelines, & deliverables.
  • Conduct in-person (or virtual) site research; provide recommendations based on cost, convenience, logistics, and other factors.
  • Drive success with event contract negotiations & onboarding of vendors.
  • Partner with registration team to create, manage, & execute travel & accommodation bookings.
  • Oversee marketing and communication, food and beverage, entertainment, AV & production, etc. related deliverables.
  • Manage communication for planning team, internal stakeholders, & external vendors any/all project milestones, wins, or escalations.
  • Ensure successful on-site execution across all internal teams & stakeholders in addition to external vendors/partners involved in producing event.
  • Manage budget forecasting, tracking, and reconciliation.
  • Maintain industry best practices, knowledge, & trends. Provide internal teams & stakeholders with innovative ideas and creative solutions.
  • Manage post-event reconciliation, reporting, and AAR process.

Qualifications

  • Proven experience in managing the strategy, planning & execution of small to large scale events and experiences
  • Exceptional organizational and project management skills with a keen attention to detail
  • Excellent verbal and written communication skills; ability to lead internal calls, client/vendor calls, and presentations effectively and professionally
  • Exceptional customer service and leadership skills, working with decision makers at a variety of levels
  • Exceptional time management skills, with the ability to work under pressure with tight deadlines
  • A proactive and results-oriented mindset, committed to delivering high-quality experiences
  • Excellent problem-solving skills, with the ability to provide solution-based alternatives to stakeholders and internal/external partners
  • Creative mindset with a passion to innovate as it related to technology, process, and people
  • Budget management experience and the ability to optimize resources for cost efficiency
  • Proficient in MS Office Suite, Google Docs and Drive, Adobe, Slack, online registration tools, event technology, and virtual event platforms
  • Willingness to travel to event locations 3-4x a year
  • Nice to haves:

    • Experience and/or degree in hospitality, event planning, etc.
    • Experience with PM or Event Management software's (Asana, Monday, etc.)

    Must haves:

    • 3-5+ years of event-related project/program management experience (5+ years preferred)
