Role: - Analyst - Knowledge Services ( PMO Support )
Location: - Sydney
Status - 6 Months fixed term, extendable based on project requirement

JOB DESCRIPTION: -
The PMO Administrator plays a key role in providing administrative support to the PMO team and project managers. They maintain project documentation, track resource schedules, coordinate meetings and training, and assist with budgeting and financial tracking.
Key Responsibilities:
1. Project Support & Coordination
- Assist project managers in tracking timelines, deliverables, and documentation.
- Maintain project records, RAID logs (Risks, Assumptions, Issues, Dependencies), and action item registers.
- Support internal project reviews and follow-up activities.
- Manage scheduling for key project and governance meetings across multiple stakeholders.
- Block calendars for project steering committees, working groups, and stakeholder check-ins.
- Coordinate with cross-functional teams to find suitable meeting times and avoid scheduling conflicts.
- Ensure timely distribution of meeting invites, agendas, and supporting materials.
- Help compile weekly and monthly status reports for management and steering committees.
- Track project KPIs, milestone progress, and resource utilization.
- Serve as the point of contact for project coordination queries and communications.
- Maintain contact lists and distribution groups for project communication.

- Organize and maintain centralized project documentation (e.g., on SharePoint, MS Teams).
- Take meeting minutes, follow up on action items, and ensure accountability.
- Assist in onboarding new project resources (access setup, orientation, etc.).
Education:
- Bachelor's degree in business administration, Management, Finance, or related field.
- PMP, CAPM, PRINCE2 Foundation, or Agile certification.
- 2-5 years of experience in a PMO or administrative/project coordination role, preferably in banking or financial services.
