Summary

The Administrative Assistant is an integral member of our team. They are often the first face our customers see or speak with daily. A successful Administrative Assistant will always be friendly and helpful. They are prompt and courteous answering phones and greeting customers, as well as providing support to other department members.

Responsibilities:

Wealth Management Team Support

  • Greet all callers with a welcoming attitude. Become familiar with clients that call in regularly
  • Process all incoming mail (delivered between 11am-1pm)
  • Create and send out bulk emails to clients and staff
  • Organize and maintain CRM system with email/address/phone updates
  • Order office supplies
  • Scan and file documents in appropriate folder in OneDrive and also file hard copy
  • Learn Charles Schwab and Fidelity platforms
  • Run quarterly reports for institutional side of business
  • Obtain notary
  • Mail out paperwork and client gifts
  • Create, order, and mail out Holiday cards in early December
  • Assist with tasks from any employee in the office (Wealth Management and Institutional)
Operations Support

  • Send out money movements (wires, achs', journals, and checks)
  • Send new client welcome email and DocuSign materials
  • Learn to create Docusign templates for the office
  • Create client accounts for Charles Schwab/Fidelity
  • Create client accounts in OneDrive
  • Create internal client file folder
Paraplanner Support
  • Prepare reports for client meetings (Fi360, performance report & MGP)
  • Print and bind booklets for Clients/Advisors
  • Conference room setup for Clients/Advisors

Qualifications:
  • 2+ years' office experience (preferred with experience on multi-line phone system)
  • 5 years of related administrative experience, or an equivalent of education and experience
  • Excellent verbal skills and telephone etiquette
  • Ability to organize, set and maintain priorities
  • High school diploma or equivalent; some college preferred
  • Strong clerical skills
  • Must be able to trouble shoot and problem solve
  • Demonstrated computer proficiency - Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Proven oral and written communication skills with the ability to effectively interact with all levels within the organization

Department Office Administration & Clerical

Required Experience: 2-5 years of relevant experience
