We are looking to add a Senior Project Coordinator to our Marketing team! The Senior Creative Services Project Coordinator (SCSPC) will act as a liaison between the Marketing Managers and the Creative team, balancing the needs of both. This person is responsible for helping to drive project plans and manage projects from inception to completion through careful planning, organization, and evaluation of deliverables. The SCSPC must be able to understand and manage a variety of different project types and review processes, as not every project follows the same workflow. The SCSPC tracks project timelines, communicates clear deadlines, and provides proposed reprioritization based on due dates. This individual will also assist with resource allocation, communication, and project scheduling with outside contractors and vendors. The SCSPC should be well-organized, a self-starter, and must understand company, marketing, and creative strategy and objectives.

Responsibilities:

  • Serves as a contact and point of coordination between Marketing Managers, the in-house Creative team, and any third parties involved to execute and manage creative design projects from initiation through delivery (i.e., freelance graphic designers, video editors, copywriters, developers).
  • Responsible for assisting with creative project scoping, planning, and some assistance in financial management, as directed.
  • Develops and proactively oversees and communicates project timelines, scheduling, work plans, and work reviews using Workfront project management tool and other tools, as necessary.
  • Reviews Workfront project requests to ensure the timelines are manageable and that they contain the required information and reference materials needed to complete the project.
  • Communicates clear deadlines and provides proposed reprioritization based on due dates; runs scheduling and resourcing reports, as needed.
  • Maintains constant holistic awareness of the status of assigned projects within the department.
  • Proactively reports project status of assigned projects to Creative Services Project Manager (CSPM); helps to track and propose mitigation plans for project risks/issues.
  • Anticipates key milestones and project dependencies/downstream implications to ensure success.
  • Works with the CSPM to assure appropriate level of resources are available to effectively handle workload.
  • Responsible for escalating issues/risks associated with project pipeline, capacity, and/or scope creep to the CSPM.
  • Does quality control on revisions made by creative team/external freelancers and provides proofreading, as needed.
  • Helps oversee organization of projects on the internal project server; archives projects as they are completed, and in compliance with established records retention requirements as directed by CSPM.
  • Identifies opportunities for process improvement to deliver against growing and evolving business needs.
  • Assists Marketing Managers with trade show organization and tracking of creative deliverables as assigned by CSPM.
  • Other duties as assigned.

Requirements:

  • Bachelor's degree in Business, Marketing, or Communications-related field or equivalent work experience.
  • Minimum 4-6 years of applicable work experience, including a minimum of 3 years of project management/planning experience in an advertising agency environment or in-house creative department.
  • Strong project management skills with proven experience in delivery of creative content/production services.
  • Experience using project management software required, Workfront experience is preferred.
  • Strong client relationship management skills.
  • Ability to critically assess a project or process to identify improvement opportunities.
  • Ability to identify innovative ways to implement projects within established timeframes.
  • Excellent written and verbal communication skills to articulate project requirements, communicate project status, and interface with internal and external team members.
  • Understanding of creative development, digital development, printing, and production processes.
  • Experience using Adobe Creative Cloud is helpful
  • Knowledge and proficiency with the following software programs and systems:
  • Microsoft Office — Outlook, Word, Excel, PowerPoint, Teams
  • Collaboration and presentation tools, i.e., WebEx and SharePoint
  • Experience managing both print and digital projects.
  • Strong organizational and issue resolution skills.
  • Demonstrated teamwork and collaboration with the ability to accomplish results as an active team member, as well as on an individual basis.
  • High level of attention to detail and ability to manage and prioritize multiple projects.
  • Ability to multi-task in a process/deadline-driven environment.
  • Employee is required to have at minimum an internet speed of 75 Mbps (standard high-speed internet access).

Working Conditions:

  • Flexibility to work in an office and/or at-home, remote office environment. Commutable distance to the King of Prussia, PA office preferred.
  • Schedule flexibility is occasionally necessary in this position. Individual may be required to attend key business/departmental meetings and/or perform certain business-critical job functions outside of normal working hours.
  • Physical Demands: Must be able to communicate internally and externally through receiving and responding to auditory and visual methods.

Competitive base pay starting at $70,850. Compensation is based on prior/relevant experience and skill level in a similar role.
