Hybrid: This role is categorized as hybrid. This means the successful candidate is expected to report to the Warren, Michigan or Mountain View, California three times per week, at minimum.

The Role
The Recruiting Coordinator Team Lead will manage and support a team of recruiting coordinators, ensuring the smooth execution of recruitment logistics and a best-in-class candidate experience. This role is responsible for overseeing daily scheduling operations, identifying and implementing process improvements, and serving as a key liaison between recruiters, hiring managers, and cross-functional partners.

The ideal candidate will demonstrate strong leadership and communication skills, with the ability to work independently and take initiative in a fast-paced environment. They will regularly analyze operational data to identify trends, measure team performance, and present actionable insights and recommendations to senior leadership. This role also requires comfort with presenting updates, metrics, and process enhancements to stakeholders at all levels, including TA leadership.

What You'll Do:

Leadership & Team Management

  • Lead and mentor a team of interview of recruiting coordinators: Provide guidance and support, foster teamwork, and promote professional development within the team.
  • Assign tasks, manage workloads, and ensure timely completion of all recruitment coordination activities.
  • Monitor team performance (KPI/Goals), provide regular feedback, and conduct performance reviews.

Recruitment Process Management

  • Enhance the candidate experience: Act as the primary point of contact for candidate escalations, ensuring clear and timely communication, providing necessary information, and maintaining a high level of professionalism throughout the process.
  • Oversee and optimize the interview scheduling process: Manage interview calendars, coordinate interview logistics across different formats (phone, video, in-person), and handle rescheduling requests or changes smoothly.
  • Partner with recruiter leads and hiring managers to ensure smooth communication and alignment on hiring needs.
  • Collaborate with our Technology Partner to optimize, streamline, and automate key aspects regarding the scheduling of the interview process, driving continuous improvements.
  • Collaborate with your manager to develop strategic plans, establish goals, and ensure alignment with Talent Acquisition initiatives

Stakeholder Collaboration

  • Act as the primary point of contact for resolving scheduling conflicts and addressing escalations.
  • Collaborate with hiring teams and stakeholders: Work closely with hiring managers, leads, recruiters, and other team members to understand needs, align on interview processes, and ensure timely communication.
  • Build and maintain relationships with internal stakeholders, including HR, IT, HRTO, TA Operations, and Recruiting teams, to ensure readiness for interviews.

Reporting & Analytics

  • Develop and implement strategies to improve interview process efficiency: Analyze recruitment metrics, pull reports in Paradox and Workday, identify areas for improvement, and implement best practices to reduce time-to-hire and improve overall hiring effectiveness.
  • Manage the applicant tracking system (Workday): Ensure accurate and prompt updating of candidate information, track progress, and utilize ATS features to streamline recruitment activities.
  • Track and report on recruitment coordination metrics, such as time-to-schedule and candidate feedback scores.
  • Provide regular updates to leadership on team performance and operational effectiveness.

Additional Description

Your Skills & Abilities (Required Qualifications)

  • Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience.
  • 5+ years of experience in recruitment coordination, talent acquisition, or a related field
  • 2+ years of experience in a leadership role, with direct responsibility for managing, coaching, and developing team members

  • Proficiency in recruitment tools and software: Familiarity with Applicant Tracking Systems (ATS), scheduling tools (e.g., Calendly, Doodle), and other relevant HR software.
  • Problem-solving and adaptability: Capability to navigate scheduling conflicts, identify solutions, and adjust strategies in a fast-paced environment.
  • Understanding of recruiting best practices and employment law: Staying informed about industry trends, hiring strategies, and legal compliance requirements.
  • Extract and analyze scheduling data to support initiatives aimed at advancing organizational goals.

Compensation:

  • The salary range for this role is $85,100 - $135,900. The actual base salary a successful candidate will be offered within this range will vary based on factors relevant to the position.
  • Bonus Potential: An incentive pay program offers payouts based on company performance, job level, and individual performance.
