Gannett's B2B Marketing team is seeking a detail-oriented and enthusiastic Event Coordinator. The ideal candidate will have 1-2 years of experience in planning tradeshows or industry events. This role involves coordinating all aspects of tradeshows, from initial planning to post-event follow-up, ensuring a seamless and successful event experience that drives new leads and pipelines.
Base Salary: $65,000 - $70,000/annually
Key Responsibilities:
Event Planning and Coordination:
- Plan and execute sponsored tradeshows and conferences, including logistics, vendor management, and on-site coordination.
- Develop event timelines, schedules, and checklists to ensure the timely completion of tasks.
- Coordinate with internal teams and external vendors to secure necessary resources and services.
- Collaborating with sales channel growth leads in capturing target audiences and creating engagement goals.

Vendor and Venue Management:
- Establish and maintain relationships with vendors, venues, and other event partners.
- Negotiate contracts and manage vendor agreements to ensure cost-effective and high-quality services.
- Troubleshoot and resolve issues to ensure successful event execution.
Budget Management:
- Track expenses and ensure they remain within allocated funds.
- Prepare financial reports and process payments promptly.
- Evaluate event outcomes to provide ROI analysis and ensure continuous improvement.
Marketing and Promotion:
- Collaborate with Marketing, Creative, and Sales teams on event production and sponsorship fulfillment.
- Utilize social media, email marketing, and other channels to promote events.
On-Site Event Management:
- Address any issues or challenges during the event to ensure a smooth experience for all participants.
Post-Event Follow-Up:
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Prepare and distribute post-event reports to stakeholders.
Qualifications:
- Bachelor's degree in Event Management, Marketing, Communications, or a related field.
- 1-2 years of internship or work experience in event planning, with a focus on trade shows.
- Strong organizational and project management skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite and event management software.
- Hands-on experience in the production of in-person events.
- Willingness to travel to events if needed.
- Ability to prioritize and multi-task in a fast-paced, dynamic environment; adapts easily and quickly to change.
Preferred Skills:
- Experience with CRM systems and marketing automation tools.
- Experience with exhibitor kits and general service contractors.
- Knowledge of industry trends and best practices in event planning.
- Creative problem-solving abilities and attention to detail.
- A solid understanding of B2B marketing programs, events, promotions, and best practices.
- Strong cross-team collaboration and relationship-building skills, developing strong networks and building credibility within the organization.

The annualized base salary for this role will range between $65,000 and
$70,000. Base compensation is reflective of many factors, including, but not limited to, the market in which one lives/works, individual education level, skills, certifications and experience. Note: variable compensation is not reflected in these figures and based on the role, may be applicable.
