Order Operations Specialist

Job Summary 

The Order Operations Specialist is responsible for processing independent contracts including initial set up of the account, subscription activation, managing contract ids, and documentation of all contract related activities. This position is responsible for provisioning users in the system for both new contracts as well as additions to existing subscriptions. They will also handle the repapering and/or subscription adjustments for non-revenue generating activities. The Order Operations Specialist works with other departments, as needed, and ensures proper departmental controls and consistency throughout the department.

 

Job Responsibilities 

  • Review sales contracts to ensure billing aligns with contract terms.
  • Review invoices for accuracy and research discrepancies.
  • Process account changes and office changes.
  • Vet assistant and planner requests with FINRA and the SEC against our licensing model to ensure that users are set up with the appropriate level of access (i.e. – advisor or support).
  • Setup and configure new user accounts (if approved) per our licensing model by creating the new licenses in our admin tool and moving the users into their newly created office path.
  • Send out welcome letters to new users upon setup.
  • Initiate the transition from Sales to the Success Coach by assigning new users (once set up) to the appropriate team to begin implementation.
  • Make sure that all set up information related to new accounts is noted in SalesForce.
  • Update account information in Zuora and activate subscriptions once provisioned.
  • Enter and maintain Contract ID’s in admin tool to ensure usage accuracy.
  • Assist sales, and other departments, with non-revenue generating activities such as repapers, downgrades, or affiliate pricing changes.
  • Convert leads, create opportunities and subscriber accounts, generate quotes, and send DocuSigns, as needed.
  • Ensures usage of efficient operational procedures.
  • Performs other tasks, as assigned.

 

Requirements 

  • College degree or equivalent experience preferred
  • 3-4 years of experience in contract operations or related field required

 

Skills 

  • Proficient in Microsoft Office
  • General knowledge and understanding of eMoney systems (Application, SalesForce and Zuora) 
  • Strong interpersonal and verbal/written communication skills.
  • Strong organization skills and excellent time management skills.
  • High levels of attention to detail and problem-solving skills.
  • Flexibility to take on new/different tasks.
  • General understanding of contract language.

The salary range for this position is $52,000 - $67,000; commensurate salary to be determined based on skills, professional background and expertise.  This position is also eligible, pursuant to applicable eMoney policies, for the annual bonus program, retirement contributions, health insurance, sick leave, parental leave and paid time off.
