Occupational Health Specialist

The OCH Analyst will support the Director Global Workplace Compliance, to identify the OCH requirements for each country and support the process of bringing onboard an outsourced OCH provider. The OCH Analyst will manage the OCH contracts, monitor their performance and hold contract meetings with internal and external stakeholders. It will require a close relationship with: HR functions; HR Ops, Benefits, Workplaces. Procurement, Finance and external OCH providers.

Elastic's Workplace function is part of Global HR and has responsibility for real estate, design & construction, workplace experience & operations, environment and sustainability, occupational health & safety, corporate & event security and enterprise risk management. Responsibilities

Building on the work completed by our workplace compliance lead and others in the workplace and HR group to date, you will develop a plan and set priorities within the functional areas of Workplaces and HR. Working with internal stakeholders to maintain an effective global support network of external specialist consultants. You will also oversee the continuous development of our OCH requirement, working closely with the EHS Lead and consultants. These activities will involve engaging across a number of functions such as HR, Finance, Sourcing and the rest of the global workplace team. You will develop and write policies that will require endorsement from senior executives.

This position is suited to an experienced OCH provider with a sound working knowledge of OCH, H&S and Occupational Risk Management across Europe. Your experience will allow you to establish key needs for developing and setting up capabilities, processes and training that will need to be put in place to ensure Elastic, its own teams and workplaces are kept safe and compliant. This will require educating and informing internal stakeholders as well as your own personal continuous training, to bring stakeholders along the journey of continuous improvement; you will be a strong communicator with a positive can-do attitude, able to demonstrate proactivity, taking initiative where needed.

Due to an increasing geographical spread of our locations, while working closely with your workplace and other team members where possible, you will be expected to work flexibly and travel as required.

Key Functional Areas

• Occupational Health Medical checks and Assessments and screening;
• Understand the need and set up a programme for OCH assessments
• Work with the OCH providers to implement assessments
• Keep a register of all Elastic personnel, their medical check dates and ensure all records are maintained in Workday, auditing as required.
• Overview the process and programme for Elasticians medical checks conducted by the OCH providers
• Working with recruiting and HR to set up pre employment screening and onboarding with OCH providers
• Monitor mental health assessments and issues
• Providing pandemic control, advice and support
• Support preventive health measures, hygiene and social distancing requirements.
• Assist with audits as required
• Occupational Health training;
• Identify the needs for workplace OCH training
• Maintain a programme of all training conducted
• Communicate with trainees on the need and timings of training
• Working with the EHS Lead for ergonomic training both office based and for remote working.
• Support a Healthy living, nutrition within the workplace programme.

• Contract management;
• Set up and maintain contracts for all outsourced providers
• Conduct regular contractual calls
• Manage purchase orders and invoices and OCH OPEX spend
• Working with sourcing, carry out RFI and Tender process for new country requirements

• Sickness and Absenteeism
• Manage HR records and input into Workday
• Escalate Absenteeism to HR groups and Line managers
• Manage in country reporting
• Carry out back to work and PEEP Risk Assessments

• Record keeping
• Maintain accurate and up to date records for all OCH aspects
• Ensure records are maintained and aligned with the OCH providers.

• General Activities:
• Establish effective working relationships with colleagues and external contacts.
• Develop a plan for the future of the function, including staffing and budget options.

Experience to date

• Knowledge of H&S management systems, inspections, and risk assessments
• Experienced in OCH in the workplace
• Experienced working with works councils
• Google Suite, Slack, Monday.com, SafetyCulture, Cardinus experience preferred
