The role involves managing administrative tasks, supervising outsourced contractors, and maintaining a safe and secure environment.

What you'll do:

  1. Admin Function Oversight:
    • Manage all administrative tasks, including shuttle bus services, car management, cafeteria, cleaning, security, work order management, surveys, and travel management.
    • Maintain an effective admin team and ensure timely communication with various business units.
    • Deliver a satisfactory environment to all users based on safe and secure principles.
    • Provide reliable support by supervising daily activities of outsourced contractors.
    • Reduce costs while maintaining high standards for the admin system within budget goals.
  2. Business Function Oversight:
    • Oversee related business functions such as space planning.
    • Ensure low-cost operations while meeting user expectations for quality.
    • Coordinate with other departments to optimize administrative processes.
  3. Contractor Supervision:
    • Strictly monitor outsourced contractors' compliance with Eaton procedures (SOP) and rules.
    • Ensure contractor safety through training, daily inspections, and performance reviews.
    • Foster long-term cooperation with contractors.
  4. Effective Communication:
    • Maintain open communication with different level managers at HQ Campus.
    • Provide timely administrative support as needed.
    • Track expenses related to administrative functions.
  5. Continuous Improvement:
    • Identify opportunities to enhance administrative processes.
    • Upgrade existing SOPs and improve working efficiency.
    • Lead initiatives to complete projects on time and within budget.
    • Participate in various activities, including projects, space planning, 5S committee, and MOC preparation and execution.


Qualifications:

  • Bachelor's degree with a major in business or management.
  • Minimum 7 years of experience in administration or office management.
  • Proficient in written and verbal English communication.
  • Key Competencies:
  • Self-motivated with a strong interest in administrative work.
  • Excellent interpersonal skills and ability to work effectively in a diverse team.
  • Prioritization skills for critical tasks.
  • Analytical ability to address complex issues.
