Senior Real Estate and Facilities Management Specialist

Introduction to the jobWe are currently seeking a Space Planner to join our Corporate Real Estate (CRE) Facilities team in San Diego. The Space Planner will be responsible for day-to-day interactions with internal customers on solving space issues using technical expertise (facilities preferred) and move requests, ensuring accuracy of space allocations and supporting the campus planning activities. The Candidate will also assist with the change management process by frequently engaging and communicating with staff affected by moves.

Role and responsibilitiesPartner with Corporate Real Estate Business Partner on:

  • Leading space projects from start to end, and providing full onsite support during the project execution.
  • Space modifications identification, occupancy planning, space move planning and scenario planning for space allocations.
  • Support and Lead Site Real Estate Master plan generation each month, support occupancy planning which includes housing, industrial and parking plans
  • Support the development of Real Estate Site Strategy as needed
  • Gaining approval from customer on unplanned maintenance work using the CRE approved communication method
  • Be the facility Coordinator under the Business Partner and support the tasks as needed
  • Creating and updating Project decision sheets, requirments to support planning of upcoming projects
  • Supporting creation of PO's and onboarding vendors on time to ensure space projects are on time
  • Manage assigned vendors onsite supporting space projects
  • Lead and update project request tickets status in Planon (CMMS system)
  • Prepare presentations & communication plans for stakeholders and executive management
  • Monitoring day-to-day space utilization
  • Lead and support seating planning and move coordination
  • Identify detailed customer requirements by meeting with internal customers; and translation into recommended solutions, finalize requirements with customers
  • Coordinate with IT, Facilities Maintenance & Project Teams, and outside service providers to achieve move plans on time and within budget
  • Assess and highlight risks and develop mitigation plans
  • Proactively communicate issues and manage the solution paths.
  • Performs reviews on key developments, KPIs and drives necessary changes into the Facilities Process and Procedures or other applicable areas.
  • Performs other duties as assigned.
  • Position requires the candidate be onsite, 2 day remote work to be agreed with manager based on projects
  • Candidate should have space planning experience in labs, cleanrooms and production

  • Preferred to have: Minimum 7+ years experience in space management planning which includes creation and management of Site Masterplan for Housing, industrial, and Parking.
  • Must have: Minimum 3-5 years of experience in project management to lead complex space scenarios and moves for campus.
  • Must have: Minimum 3-5 years requires technical knowledge ( facilities preferred) to make recommendations on space scenarios planning and to be able to generate space User requirements specifications and/or provide input for projects.
  • Part of the job: Position requires the candidate to be a building coordinator of the 1 or multiple real estate (buildings), to manage the requests or concerns of customer and also gain approval of maintenance activities.
  • Technical and nontechnical planning experience is required.
  • Preferred to have: AutoCAD experience.

The current base annual salary range for this role is currently:
$87,750-146,250
Pay scales are determined by role, level, location and alignment with market data. Individual pay is determined through interviews and an assessment of several factors that that are unique to each candidate, including but not limited to job-related skills, relevant education and experience, certifications, abilities of the candidate and pay relative to other team members.

The Company offers employees and their families, medical, dental, vision, and basic life insurance. Employees are able to participate in the Company's 401k plan. Employees will also receive eight (8) hours of vacation leave every month and (13) paid holidays throughout the calendar year.
