Wells Fargo is seeking a Senior Office Coordinator to be part of our Corporate Property Group.

In this role, you will:
  • Identify and coordinate the daily administrative activities, operations and maintenance for specific line of business
  • Perform administrative and secretarial tasks to assure effective office support
  • Schedule and prepare reports for management; purchasing office supplies
  • Coordinate minor repairs and renovations; acting as a department liaison with outside vendors, suppliers and consultants
  • Assure administrative coverage of critical functions such as reception, telephones, mail preparation and delivery
  • Establish office procedures and controls
  • Coordinate the leasing arrangements, assignment of office space, computers, furniture and equipment
  • Coordinate special events or office functions
  • Perform complex administrative, operational, maintenance and customer support tasks
  • Utilize systems, reports and data to analyze and make recommendations to improve business results, mitigate risk and support overall client experience
  • Identify opportunities for improving or implementing processes and tools within supported business group
  • Ensure required polices and procedures are followed
  • Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
  • Interact with internal and external customers
  • Receive direction from leaders and exercise independent judgment while developing the knowledge to understand function, policies, procedures, and compliance requirements
Required Qualifications:
  • 4+ years of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
  • Candidate must be a graduate of a Bachelor's degree or higher
  • Candidate must have at least 5 years of relevant experience in administrative support with background in transportation management
  • Manages and coordinates the daily operations of the company's transportation network:
  • Streamlines processes, shuttle schedule management, driver, and dispatcher coordination.
  • Coordinates ad hoc shuttle requirements for different line of business.
  • Prepares purchase orders and conduct monthly billing reviews for transport-related expenses.
  • Prepares monthly seat utilization report.
  • Lead projects related to property enhancements for improved team member experience.
  • Adheres to internal requirements and standards to prevent regulatory risk and liabilities.
  • Ensures compliance of third-party vendors to all regulatory requirements
  • Conducts vendor performance evaluations.
  • Maintains system application for parking facility accommodation including building access approvals.
  • Coordinates property access for third party service providers.
  • Reports and monitor repairs and maintenance works through regular site inspections.
  • Ensures the optimal utilization of the organization's facilities through proper seat and capacity planning.
  • Assesses and evaluates the physical space requirements of the organization and recommends plans to meet demands.
  • Incident management and reporting.
  • Events Set-up coordination.
  • Performs role as member of the Emergency Response Team
  • Conduct new hire orientations on CPG related guidelines and policies.
  • Participation in business continuity exercises.
Job Expectations:
  • Candidate must be amenable to work onsite either in McKinley or at BGC.
  • Candidate must be amenable to work on a mid-shift.
