Job Description
Office management/procurement:
· Ensure all office related supplies and services are provided, Procurement execution
· Coordinate with local suppliers and vendors, creation of POs, receiving invoices in the Procurement system
· Ensure all hygiene and safety measures are in place
· Provide updates to Facilities team and liaise with landlord and facility management vendors
· Maintain the office condition and arrange necessary repairs
· Coordinate with IT department on all office equipment
· Computer and wireless device management
· Local mobile service coverage
· Provide updates to Facilities team as and when required
· Manage relationship with the maintenance services and office receptionist provider.
· Courier services management
· Set up, implement and maintain new and revised procedures for the Office as and when required, i.e. health and safety, Vendor information, staff information, etc.
· Physical security management
Assistance to Regional Manager:
· Management of the local corporate card programs
· Ensure all expenses are submitted in a timely manner
· Schedule meetings and appointments (locally and during business trips)
· Assistance in planning and execution of business travel
· Support in operational tasks upon request
Administrative
· Work closely with service providers (EY, PWC, etc) on updates of Office Operational Procedures
· Organize new vendor’s and client’s set-up in the systems
· Operational support in managing projects upon request
· Administration of sending, receiving, registration of post
· Support in scheduling meetings and appointments (locally and during business trips) for BD/AE team
Marketing & Events
· Responsible for ordering branded merchandise for clients for relationship strengthening (this includes E form compliance form submission)
· Responsible for merchandise control and reporting
· Communicate internally Social Impact news and Events
· Plan and organize team building events
· Project management and agency coordination
· Liaising with Visa’s Regional offices and Hubs and Visa’s Business Development Regional Office Support team to ensure that Visa Client and Visa employee visits are co-ordinated in an effective and timely manner
· Support any other special events, meetings and conferences locally
This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications
· Strong organizational skills with the ability to multi-task
· Project management skills
· Previous experience of working in an international environment is a plus
· Proven ability to work under pressure and meet deadlines
· Self-motivated, “can do” attitude
· High proficiency with Microsoft Office Suite products (Outlook, Excel, Word & PowerPoint)
· Excellent time management skills and the ability to prioritize work
· Knowledge of office management systems and procedures
· Fluency in English (Russian is a plus)
· Excellent interpersonal and communication skills (written and verbal) are essential, as the job requires liaising with vendors by email and phone daily
