In your role as Facilities Assistant, you will help us achieve our goals by ensuring the Cambridge office have a comfortable, safe and enjoyable working environment and have everything they need so they can focus on delivering our brilliant product to our customers.
Responsibilities

General Facilities
Supporting with site visits relating to the building and facilities
Assist in scheduling and overseeing maintenance task, ensuring facilities are safe and operational including repairs and preventative maintenance

Reporting security and health and safety concerns
Handling team member requests, logging faults, and coordinating with contractors
Keeping track of supplies and equipment, ordering replacements as needed
Assisting the Facilities Manager with other tasks as required
Health & Safety and Security
Daily morning checks of fire routes and exits to ensure escape routes are kept clear
Weekly fire alarm testing
Organising and supporting with R&M visits for fire and security equipment
Support with monitoring CCTV and reporting anything of concern to the Facilities Manager
Ensuring documentation, inspection logs and policies are kept up to date
Reception Management
Manage the guest checking in process
Perform regular checks of access control logs and monitor team member access
Ensure reception is clean, tidy and guest ready
Be on hand to assist team members and visitors with general queries
Regularly check the Voicemail messages on the main phone line and pass relevant messages onto team members
Office Support
Daily morning checks of the meeting rooms to ensure that the space is tidy and equipped with appropriate resources and all IT equipment is working correctly if not, to be reported to IT
Preparing meeting rooms and common areas for events ensuring all necessary equipment is available and functioning
Checking the (Joan) meeting room system to ensure it continues to work seamlessly.

Supporting and coordinating any shipping requirements between Visa offices
Tracking and managing supplies or stationery and other items needed to maintain the operational efficiency of the office
This is an office based position, with the expectation of 5 days per week in our Cambridge office.
Qualifications
Required experience:
- Experience of working in a facilities/office manager role
- Experience of working on reception within an office environment
- Experience using IT systems, in particular Microsoft Office
- Excellent Customer Service skills
Great to haves:
- Familiarity with basic maintenance tasks, or a willingness to learn
- Qualification in IOSH or similar
- First Aid and/or Fire Marshall Training
