Job Description

The Executive Administrator role will provide administrative support to the Senior Vice President, Chief Counsel, Global Risk and Regulatory Affairs and general assistance to other team members. This position handles details of a confidential nature and requires a broad working knowledge of departmental and company policies and practices.

This role is an individual contributor with a primary focus on execution. This position is at a developing professional level and solves a range of straightforward problems and analyzes possible solutions using standard procedures. This position receives a moderate level of guidance and supervision.

Responsibilities

Administrative support duties will include, but are not limited to the following:

  • Managing complex calendar scheduling including video conference, trainings (off-site and/or internal) and group events.

  • Making complex travel arrangements.

  • Processing expense reports in a timely manner.

  • Preparing meeting materials, including assisting with the creation of presentations, handouts and other related materials.

  • Drafting and typing correspondence, making copies, preparing binders, directing inquiries to the proper party within the teams and managing visitors.

  • Establishing and maintaining effective and cooperative professional business relationships with all levels of management, employees and outside companies.

  • Supporting projects as needed for Global Risk and Regulatory Affairs leadership.

  • Providing back-up assistance to other administrative support team members as needed.

This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.

Qualifications

Basic Qualifications
•Minimum of 6 months of work experience or a Bachelor's Degree

Preferred Qualifications
•2 or more years of work experience
•5 or more years of administrative experience supporting a senior executive in a fast-paced environment with minimal supervision
•Discretion combined with poise and professionalism in all communications.
•Must be able to exercise good judgment regarding information that may be confidential or sensitive.
•Ability to multi-task and prioritize work with strong attention to detail.
•Excellent planning, organizational, written and verbal communication skills.
•Exercise good judgment in setting priorities and interacting with internal and external contacts.
•Advanced proficiency in Microsoft Office and demonstrated strength in developing complex PowerPoint presentations.

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel 5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 74,400.00 to 95,000.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity. Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
