Job Description
Position Summary
The Executive Assistant will provide high-level administrative and organizational support to the Country Manager of Ecuador and the broader Visa Ecuador team. This role requires exceptional organizational skills, attention to detail, the ability to manage multiple priorities, and a high degree of professionalism. The Executive Assistant will serve as a key liaison between the Country Manager, internal teams, and external stakeholders, ensuring smooth operations and effective communication.

Key Responsibilities
Support to the Visa Ecuador & Venezuela’s Country Manager and team
Manage and maintain the Country Manager’s calendar, appointments, and travel arrangements.
Coordinate and organize meetings, including agenda preparation, logistical arrangements, and minutes.
Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
Prepare internal and external corporate documents for team members and industry partners
Schedule meetings and appointments and manage travel itineraries
Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events
Maintain an organized filing system of paper and electronic documents
Uphold a strict level of confidentiality
Develop and sustain a level of professionalism among staff and client
Prepare internal and external corporate documents for team members and industry partners
Operational & Communication Support
Maintain accurate filing systems (digital and physical).
Ensure timely communication of key updates to the team.
Coordinate and support corporate social responsibility and employee engagement activities.

This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications
Basic Qualifications
•Must have a High School diploma or equivalent or relevant work experience
Preferred Qualifications
•Associates degree or equivalent work experience, with a minimum of 5 years experience
•Discretion combined with poise and professionalism in all communications
•Must be able to exercise good judgment regarding information which may be confidential
•Must have excellent communications skills both verbal and written in Spanish and English.
•Ability to operate effectively and efficiently in a challenging, fast-paced environment.
•Customer service-focused with ability to work collaboratively with others
•Ability to multi-task and prioritize work with attention to detail.
•Solid planning, organizational and written and verbal communication skills
•Experience using Microsoft products including PowerPoint, Excel, Word and Outlook
•Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
•Exceptional interpersonal skills
•Friendly and professional demeanor
