Business Project Manager, Specialist

We are seeking a Business Project Manager to provide project management services on a multi-year or major project, applying functional expertise to improve project results. This role will support the implementation and sustainment of Vanguard's new workplace strategy-focusing on optimizing space utilization, enhancing dining and event experiences, and driving data-informed decision making to elevate the day-to-day experience for crew and partners with purpose and energy!
Key areas of focus include:
- Workplace Experience Implementation: Partner with Global Workplace Experience (GWx) and business customers to implement neighborhood seating models and workplace transitions. Collaborate with the GWx experience team to deliver seamless crew commute-worthy experiences, coordinate locker software and personalization, and support onboarding and change management activities.
- Space Use & Optimization: Work with occupancy planning and data teams to monitor space utilization metrics and provide strategic insights that align with business growth and mobility trends.
- Data & Metrics Oversight: Develop and maintain dashboards to track KPIs such as attendance, satisfaction, and utilization. Analyze survey and operational data to identify trends and ensure consistent use of terminology and metrics.
- Dining & Amenities Experience: Liaise with dining services and vendors to ensure high-quality offerings, support dining-related capital projects, and handle regional transportation and commuter benefits.
- Meetings & Events Support: Coordinate with Meetings & Events to deliver high-touch event experiences, assist with planning and execution, and provide day-of and post-event support.

Responsibilities:
- Manage a project or workstreams within a broader project or program. Develop, implement, and monitor project plans. Contribute expertise to major project deliverables, milestones, and required tasks.
- Provide insight on leading practices and common obstacles based on prior experiences. Ensure strategies are aligned with the overall department strategy.
- Communicate project status and issues regularly to business partners, including leaders, team members, and senior managers.
- Build and maintain effective relationships. Proactively foster communication between internal and external project partners. Influence key decisions across collaborator groups.
- Proactively identify, manage, and mitigate risks and any related project issues. Communicate solutions on key issues or projects to management and stakeholders to obtain their input and buy-in as appropriate.
- Participate in special projects and perform other duties as assigned.
Qualifications:
- Minimum of three years related work experience in workplace operations, hospitality, facilities, or corporate real estate. Two years of driving a project preferred. Financial Services or function-specific experience preferred.
- Undergraduate degree or equivalent combination of training and experience.
- Strong analytical skills with experience in data visualization and reporting tools.
- Experience supporting large-scale workplace transitions or change initiatives.
- Passion for creating inclusive, engaging, and efficient workplace environments.
- Knowledge of hybrid work models and neighborhood-based seating strategies.
- Preferred certifications: PMP (Project Management Professional) or IFM (International Facility Management).
- Travel requirement: 10-15%
