About the Team

This position is on the Global Finance and Operations - Order Management team and is a key point of contact with all cross-functional departments. The Order Processing Analyst will report to the Senior Manager of Order Processing.

About the Role

  • Quality assurance of order execution, in support of bookings management, and revenue recognition.
  • Review and validate submitted documentation to ensure compliance with order submission criteria.
  • Throughout the life cycle of the deal, coordinate with sales operations, legal, credit, revenue recognition, and other cross-functional partners to ensure all orders are reviewed and released timely, accurately, and completely within established Agreements (SSLAs).
  • Assist the revenue recognition team in filing/compiling documentation for audit samples.
  • Drive continuous process improvements, define, and implement standardized and optimized workflows to support finance and the order management processes.
  • Proactively solicit ideas from sales operations and other teams to improve order management processes, guidelines and participate in updating the Order Management knowledgebase.
  • This position is responsible for timely reviewing, qualifying, and processing product and service orders submitted by field sales via the Oracle quoting system and Salesforce CPQ.
  • Communicate via phone, e-mail & instant message with field sales operations reps and managers to ensure appropriate documentation is received for auditing, revenue recognition and customer satisfaction purposes.
  • Understand UKG's legal requirements and review submitted paperwork to ensure adherence to both standard and non-standard terms and conditions. Act as a liaison between legal and field sales to obtain approval for non-standard paperwork. Access the legal repository to review previously negotiated terms and conditions and archive for future reference.
  • Enter RMA/credit requests into Oracle and validate contract amendments in CPQ. Follow up to ensure timely receipt of product. In addition, work with Contracts to ensure maintenance credits are processed prior to receipt of product returns. Research, issue credits and obtain appropriate approvals prior to processing.
  • Assist in processing perpetual and SaaS software, hardware, maintenance, and training orders, PSA change requests, as well as other departmental functions in need of support if workload volume increases.
  • Act as a true team player to assist others in reviewing and/or entering orders to ensure communicated timelines are met.
  • Ability to provide training and support with our center of excellence team while assuring quality and SLA's are being met.

About You

Basic Qualifications:

  • Education/Experience: college degree or comparable work experience required.
  • A minimum of 2 years of order management, sales operations, or finance operations experience is required, preferably in the software industry.
  • Experience with Microsoft Office suite
  • Excellent oral and written communication skills and a desire to go above and beyond to provide exemplary service are a must.
  • Strong organizational and multi-tasking skills, sense of urgency, and understanding of the importance of the function, and required outputs are necessary and should be demonstrated through previous work experience.
  • Due to month and quarter-end requirements, the candidate must be able to work extensive hours during the last week of a month or quarter, including weekends or holidays.

Preferred Qualifications:

  • Experience with Salesforce CPQ or other enterprise level CRM
  • Experience with Oracle or other enterprise ERP
  • Intermediate to advanced Excel knowledge

The pay range for this position is $55,400 to $72,000, however, base pay offered may vary depending on skills, experience, job-related knowledge and location. This position is also eligible for a short-term incentive and a long-term incentive as part of total compensation.
