Program Manager, Outside Counsel & Vendor Operations

About the Role

We are seeking a Program Manager to join our Outside Counsel & Vendor Operations team, with a focus on optimizing outside counsel and vendor operations. This individual will play a critical role in scaling our vendor billing operations through meticulous administration, efficient processes, and seamless cross-functional collaboration.

What You'll Do:

  • Manage the End-to-End Matter Lifecycle: Collaborate with partners across Finance, Supplier Management, and Accounting to oversee vendor onboarding, contracting, billing compliance, and timely payment processing.
  • Lead Billing Operations for Legal Vendors: Oversee daily operational workflows including spend approvals, matter setup, vendor onboarding, purchase order (PO) creation, invoice review, and payment coordination.
  • Support Financial Planning and Forecasting: Partner with Accounting and Finance teams to provide vendor and matter-level data to support accruals, budget tracking, and forecasting activities.
  • Administer the E-Billing Platform: Own the end-to-end management of our e-billing system, including user provisioning, system setup and configuration, issue resolution, API integrations, and training/support for internal and external stakeholders.

Basic Qualifications:

  • 5+ years of relevant experience in vendor operations, legal billing, or a related field
  • In-depth knowledge of legal billing processes and familiarity with systems such as SimpleLegal, Coupa, or similar e-billing platforms
  • Hands-on experience with Procure-to-Pay (P2P) workflows, including PO creation, invoice validation, and payment coordination

Preferred Qualifications

  • Exceptional written and verbal communication skills, with a proven ability to collaborate effectively across legal, finance, and procurement teams
  • Strong attention to detail and organizational skills, with the ability to manage multiple priorities in a dynamic, fast-paced environment
  • Experience working with Salesforce or similar platforms to support operational workflows or data management
  • Proven ability to build strong relationships and influence across business leaders and cross-functional teams; highly collaborative with a track record of gaining trust and driving alignment
  • Self-starter with a strategic mindset, strong problem-solving skills, and a bias for action in fast-paced environments
  • Naturally curious and analytical, with the ability to identify root causes and proactively surface and address issues
  • Demonstrates the highest levels of integrity, ethics, and accountability in all interactions and decision-making

For San Francisco, CA-based roles: The base salary range for this role is USD$106,000 per year - USD$118,000 per year.
