Who we're looking for
Toyota's Prototype Department is looking for a passionate and highly motivated Department Administrator. The primary responsibility of this role is to support the Department(s) day-to-day administrative operations.
Reporting to the General Manager, the person in this role will support the Prototype department's objective to provide prototype evaluation vehicles for Toyota North America Product Development and Vehicle Evaluation.
What you'll be doing:
- Support dept administrative management
- Create and submit purchase orders, tracking, and invoicing (including capital projects)
- Department budget analysis, tracking, and reporting.
- Technical report and Technical Standard (TS) tracking and retention
- Support onboarding of new hire
- Meeting /Special event planning
- Support executive travel plans, reservations and expense reports
What you bring:
- Experience in administrative support, including document management processes or systems
- Experience in MS Office (Word, PowerPoint, Excel, Outlook), and SharePoint
- Experience with travel and expense report systems (specifically Chrome River and FCM)
- Experience with company purchasing card purchases, accounting and monthly reconciliation.
- Experience with Ariba purchasing system to issue and track purchase orders, capital projects and status reports.
- Strong ability to maintain privacy and confidentiality
- Flexible work schedule to meet business needs.
- Ability to coach and train additional admin staff

- Demonstrated project management skills
- Power BI or Power Apps experience
- Business Partnering Group (BPG) Participation or Leadership, or community leadership experience (boards, associations, etc.)
