Who we're looking for
Lexus Western Area is seeking a detail-oriented and proactive Demand and Supply Administrator to support our Demand & Supply team. This role is vital in administering various vehicle services and
supporting vehicle allocation processes to ensure smooth operations and excellent service delivery across our network.
What you'll be doing
• Utilize Fleet Management System to order and track demos, pool vehicles, marketing/promotional vehicles, and VSPP replacement vehicles.
• Work closely with the marketing department and advertising agencies to ensure the proper display vehicle coverage at marketing activations across the Western US.
• Support dealers with trades, RDR reversals, vehicle inquiries, LCCS flips, and "hot shipments."
• Administer vehicle services including fulfillment of associate lease vehicle requests, annual vehicle registration renewals, and distribution of VSPP certificates.
• Print and send requested new or duplicate MSOs and Moroney Labels.
• Update the department's Dealer Daily with current reference materials, including production orders.
• Reconcile P-Card transactions accurately and timely.
• Assist periodically with dealer vehicle allocations by pulling vehicle pools (GMP/market rep) and authorizing/finalizing allocations.
• Assist with allocation, GMP, market rep, vehicle turndown reports, and dealer letters.
• Address vehicle carrier and damaged vehicle claims and concerns promptly.
• Manage administration and reconciliation of budgets related to vehicle services and supply.
• Reconcile No Match and PIERS Exports monthly.
What you bring
• Associate degree or higher, or 2+ years of professional experience in automotive or a related field.
• Proven work experience using administrative skills with attention to detail and accuracy
• Experience managing multiple tasks and communicating effectively with internal teams and external partners.
• Working knowledge of Excel
Added bonus if you have
• Understanding of the complexities, policies, and procedures related to vehicle supply and vehicle services.
• Experience using Toyota's Host System.
• Familiarity with state motor vehicle laws and related policies/procedures.
• Experience working directly with regional office departments, TMNA departments (including Vehicle Services and Demand & Supply), dealerships, and outside vendors.
