About the Team
The Enterprise Services Team is the face of TikTok USDS in the workplace, helping to deliver exceptional guest experiences that brings the TikTok brand to life. They serve as a daily resource to employees, clients and business partners by effectively managing workplace needs and acting as an enthusiastic brand ambassador. The ideal candidate has a passion for creating best-in-class experiences and takes pride in creating a dynamic space to foster and nurture professional inspirations.

This role will report to the Head of Enterprise Services, and will act as a key point of contact for managing daily office operations in our Sydney office, ensuring a seamless and efficient office experience. They will provide an efficient, streamlined, and highly professional office environment with general support to the teams, including real estate, facility management, procurement, wellbeing, and employee experience. Generally provide an excellent level of customer service both internally and externally and to ensure the Sydney Office operates effectively and efficiently and is positioned to cater for ongoing growth. The role requires someone with superior communication skills, outstanding attention to detail, adherence to the highest standards and an ability to foster excellent relations with others.

This is a full time position, office based, Monday to Friday. This role will be under the Workplace function but has Real Estate and Procurement responsibilities, serving as a dual purpose role.

Responsibilities
OPERATIONS & BUSINESS MANAGEMENT
- Manage office logistics, facilities, and vendor relationships to ensure high performance and effective service delivery of all local operations.
- Establish and maintain operational budgets, working closely with finance to optimise allocations.
- Responsible for insurances, local permits and business licenses, ensuring adherence to renewal dates and coverage levels.
- Managing all local purchasing including vendor RFPs, negotiations, and onboarding.
- Management of all internal communications to local London teams.
- Support local business teams and global leadership to implement regional initiatives and enhance organizational efficiencies.
- Ensuring compliance with health and safety regulations within the office environment.
- Project management of office enhancement projects.
- Other operational tasks supporting business needs, as required.

CULTURE & EMPLOYEE EXPERIENCE
- Lead efforts to foster a positive, high-performance culture across the region, contributing to the organization's strong values of innovation, diversity, and sustainability, in creating cultural alignment and consistency
- Manage onsite onboarding and meal programs.
- Organize and oversee company-wide and local office events, team building activities, and employee recognition programs.
- Act as the key point of contact for employees on Workplace Experience matters, including solving Workplace ticketing requests in a timely manner.

HEALTH & SAFETY
- Ensure that full care is taken in the performance of all duties in order to protect the health and safety of oneself, fellow employees, visitors and consultants.
- Adhere to the Environmental Health and Safety policy of the company and meet local regulatory requirements
- Conduct and Manage Fire Risk Assessments and Occupational Health Risk Assessments
- Manage Emergency Evacuation Plan
- Assure adequate number of Staff trained as Fire Wardens and Emergency First Aid
- Manage incident reporting.

Qualifications

Minimum Qualifications
- 5+ years experience in Office Management with an emphasis in real estate and facilities management, purchasing oversight, and business operations.
- Self-starter with a high degree of ownership and accountability; comfortable working independently, making decisions, and driving initiatives forward with limited supervision across time zones.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize work.
- Commitment to fostering an inclusive and psychologically safe work environment
- Highly practical problem solving with the ability to work tasks and projects to completion within set timeframes.
- Confident in proactively presenting and escalating ideas, improvements and problems to the key stakeholders in a manner which ensures continuous improvement.
- Open mindset and deep curiosity seeking to understand others, listen without judgement and act on diverse perspectives

Preferred Qualifications
- Extensive years experience in Office Management with an emphasis in real estate and facilities management, purchasing oversight, and business operations.
- Strong written and communication skills with proven experience in the compilation and implementation of office procedures and policies. Demonstrated ability to implement new policies with leadership qualities which transition positive change amongst colleagues.
