Administrative Assistant
The Administrative Assistant provides administrative support and coordinates activities for specific individuals or teams, ensuring efficient office functioning through a range of responsibilities. Under moderate supervision, job provides an opportunity to play a key role in ensuring the success of daily operations for employees of all levels.

Key Responsibilities and Duties

  • Maintains office inventory, facilitates supply orders and completes other general office duties.

  • Supports employees with various tasks related to onboarding, appointment setting and travel arrangements.

  • Provides meeting assistance through scheduling, presentation preparation and diligent note taking.

    Overview of the Role

    Main responsibilities are support the team in every aspect of its day to day running. This is an all-encompassing secretarial and administrative coordination role. As member of the assistant’s team the assistant will report to Ksenija Crnomarkovic.

    Key responsibilities:

    • Diary Management – intelligent and reliable travel arrangements with complex itineraries in liaison with other offices; proactive prioritising and filtering
    • Organise and facilitate a high volume of meetings, conferences, investor meetings/events (including international conference calls/video conference calls/WebEx-and Zoom-meetings)
    • Ensuring all deadlines are met and that managers are fully prepared for meetings (assisting with the preparation of presentations: updating and creating presentations, printing and binding)
    • Regularly updating and maintaining of databases
    • Maintain stock of marketing literature and materials, maintain up-to-date filing of client presentations
    • Provide assistance with the organisation and preparation of external events, fairs, etc. in liaison with marketing, client capital and client service teams
    • Liaising with external service providers and business partners, drafting own correspondence
    • Acting and working in accordance with Nuveen’s compliance policy (e.g. preparing and filing of crossborder materials, collaborate with the compliance department, etc.)
    • Translating of presentations into German and English, proof-reading
    • Document management (manage proactively signatures, printing, binding, filing of documents)
    • Maintaining up-to-date and organised filing systems (physical and online data storage)
    • Ad hoc project work
    • Collaborating with other members of the Frankfurt assistants’ team
    • Mail service to the team including posting, copying and scanning, couriers
    • prepare travel expenses according to our policies
    • Taking minutes of meetings
    • Further administrative tasks

    Qualifications & Experience Required

    • Experience as team assistant required, ideally in an international company
    • Willing to acquire knowledge of our products
    • Willing to acquire knowledge of working processes and to proactively take part in relevant training sessions and courses

    Competencies Required

    • Advanced knowledge of MS Office (Outlook, Word, Power Point, Excel), Adobe Standard
