We're looking for a highly organized, proactive, and people-oriented Team Administrative Coordinator to support the 300+ person organization under the Office of the CTO. This role will report to and partner closely with the Executive Assistant to the CTO, focusing on team culture, coordination, and day-to-day operational support. This is a 6-month contract with an option for extension.
How You'll Support the Mission
Culture & Engagement
- Plan and execute culture-building events such as pizza days, snack breaks, cake for birthdays, appreciation weeks, and seasonal team activities.
- Manage/create birthday and anniversary calendars; coordinate low-lift, low-cost celebrations to build morale and connection.
- Surface and support recognition efforts including monthly CTO awards, spotlights, shoutouts, and appreciation programs.
- Help create visibility into team wins, milestones, and leadership updates.
- Assist in the development and distribution of a monthly team newsletter.
- Set up and refresh daily office snacks for the team.
- Order and coordinate food for team meetings, celebrations, or working sessions.
- Assist with logistics and content coordination for quarterly All Hands.
- Support expense reports and light travel coordination for senior leaders within the CTO org ( excluding the CTO ).
- Order snacks, supplies, and swag as needed.
- Assist with onboarding logistics for new employees in the CTO org.
- Assist directors with conf rooms and meeting planning when needed.
- Maintain updated records, contacts, or templates relevant to team coordination.
- 2+ years of experience in an admin, office coordination, or people-support role.
- Strong attention to detail and ability to manage logistics.
- Excellent written and verbal communication skills.
- A proactive mindset and a passion for team culture, engagement, and operational excellence.
- Comfortable juggling light physical tasks (e.g., setting up snacks, moving boxes, arranging food).
- Familiarity with tools like Google Workspace, Slack, Outlook, or similar is a plus.
