We are seeking a sharp, highly organized Event Coordinator who is integral to the success of these programs - assisting event producers, managing internal workflows, and keeping live programming running smoothly from concept to load-out.

How You'll Support the Mission
  • Support logistics and operations for all Washington Post Live events and internal events, both on-site at our Live Center and at external venues across the country, ensuring seamless execution.
  • Coordinate pre-event logistics - including scheduling, venue and vendor communications, staffing plans, and production timelines - to keep projects on track.
  • Manage day-of operations such as load-ins, technical checks, greenroom preparation, and load-outs to deliver smooth, professional experiences.
  • Submit RFPs to vendors and venues, compare bids, and support contracting processes to secure quality services within budget.
  • Serve as the on-site point of contact for vendors and venues, overseeing event setup and breakdown for high-quality execution and efficiency.
  • Track and manage invoices, PO submissions, and vendor paperwork to support accurate budget reconciliation.
  • Collaborate with editorial, technical, creative, and marketing teams to ensure alignment and readiness.
  • Research industry trends, production innovations, and new tools or technologies that can elevate event experiences, and contribute ideas to improve processes, on-site flow, and audience engagement.
  • Support the upkeep and scheduling of The Washington Post Live Center, ensuring the space is event-ready at all times.
The Skills and Experience You Bring Minimum Qualifications

  • 1-3 years of hands-on experience in live event production, studio logistics, or large-scale programming (internships included).
  • Proven ability to manage multiple projects at once in fast-paced environments with tight timelines.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills, both written and verbal, with the ability to collaborate cross-functionally.
  • Calm under pressure, nimble in decision-making, and adaptable when things shift on site.
  • Comfortable working early mornings, evenings, or occasional weekends when events require.
Preferred Qualifications
  • Familiarity with tools such as Adobe, Asana, Google Workspace, SocialTables, or production scheduling platforms.
  • Experience managing vendor relationships, contracts, and budgets.
  • Degree in communications, media production, journalism, event management, or a related field.

Benefits may vary based on the job, full-time or part-time schedule, location, and collectively bargained status.

The salary range for this position is:
$55,900 - $83,900 Annual

The actual salary within this range will depend on individual skills, experience, and qualifications as they relate to specific job requirements. This position may be eligible for a bonus or incentive program, and a member of the Talent Acquisition team will discuss bonus payment terms and conditions during the interview process.
