About the Role
Reporting to the Maintenance Asset Manager for the Port Department's Asset Management unit, the Facility Maintenance Analyst will be responsible for supporting the implementation effort and the maintenance of the Enterprise Asset management (EAM) program for the Port Department. Additionally, the selected candidate will be responsible for the development and advancement of strategies for the department's Asset Management program, overseeing maintenance KPI's and their development and ensuring all facility and department staff are actively engaged and fully trained in the use of Maximo and the Asset Management program.
Responsibilities
- Review Maximo data to ensure accuracy, data integrity, ensure reporting needs of the department are fulfilled.
- Assist with the implementation of all new systems related to asset management ensuring that all new initiatives are successfully implemented.
- Assist with organizing and restructuring asset data in Asset Data Specification ADS, Asset Component Spare Part ACS Hierarchies, Geographic and Functional Hierarchies, job and safety plans, material, and workflows for integration/input in Maximo
- Support the upkeep of Maximo including maintenance reporting and work order analysis.
- Monitor the progress of the asset management program and identifying areas of improvement.
- Guide the maintenance team on best practices with respect to collection, review, enrichment, and validation of data
- Extract and analyze maintenance data from Maximo for various facility and line department needs.
- Provide ongoing maintenance reporting on a monthly and quarterly basis
- Assist in the development of analytics and key performance indicators for Maintenance and the Asset Management program.
- Produce guidelines and provide training recommendations in relevant areas, including data collection, reporting and KPIs.
- Collaborate with the cross department to assess complex documents such as lease agreements to maintain accurate building level obligations in Maximo.
- Support the Asset Management and Facilities teams with data collection and reporting for key KPIs and reporting documentation
- Improve efficiency and accuracy of data collection and create processes to manage.
- Coordinate and provide necessary data to support the Maximo implementation.
- Perform other duties as required.

Minimum Qualifications
- Bachelor's Degree in Business Management, Project Management, Engineering, Architecture, or other related area from an accredited college or university. Substantial professional experience in the field of Asset Management may be considered in lieu of a bachelor's degree.
- A minimum of five (5) years of progressively responsible experience in maintenance management, facility operations, systems engineering, or project management.
- Demonstrated experience with the maintenance, operation, and repair of a broad range of assets.
- Excellent data analytical skills.
- Selected candidate will be required to pass a Federal Security Background check and obtain a Transportation Workers Identification Credential (TWIC) to work in a maritime environment as required by Department of Homeland Security.
- A valid driver's license, as the position will require the incumbent to travel independently to the various Port facilities in New York and New Jersey, which are not easily accessible via public transportation.
Desired Qualifications
- Knowledge of maintenance management systems and its use to accomplish Preventative, Corrective, and Emergency work, including scheduling, work order statusing, and labor management.
- Working knowledge with operating and maintaining fire protection and life safety systems, building management systems.
- Demonstrated experience with any or all the following: Maximo, Assetworks, DataSplice, Arc GIS, Arc GIS Server, Oracle, COGNOS, SAP, BIM, CAD, RFID, SNMP, GPS enabled handheld/tablet.
- Demonstrated experience with managing the migration of maintenance asset data from an existing computerized maintenance management system to new system along with the organization of assets into a hierarchical structure
- Understand the Agency's asset management plan and maintenance strategy and the relation to maintenance activities.
- Experience delivering within a fast-paced and detail-oriented environment.
- Ability to work well under pressure and independently strategize to meet goals and deadlines.
- Ability to work effectively with all levels of the organization, including senior executive.
- Demonstrated ability to develop creative solutions to problems, resolve conflicts and work effectively with both technical and non-technical staff.
- Working knowledge of labor agreements for facility operations and maintenance staff.
- Knowledge of Port Authority policies, the business planning process, and the Port Authority budget process.
- Strong interpersonal skills and the ability to be persuasive with staff at all levels.
- Excellent written and oral communication skills, including the ability to make concise presentations to a variety of audiences.
- Proficient in the use of various computer programs such as Microsoft Excel, Word, PowerPoint, and MS Project.
