Public Records Commissions Specialist
Job Description
ABOUT THIS POSITION:
The Office of the Secretary of the Commonwealth of Massachusetts is seeking candidates for a Commissions Specialist position in the Commissions Section of the Public Records Division. The Commissions Section is responsible for a variety of tasks involving the various appointments and commissions issued by the different branches of the Commonwealth's government. The Commissions Section is tasked with maintaining accurate records through the management of several databases as well as assisting the general public with accessing these records and providing guidance to obtain a specific commission from the office of the Governor, such as Notary Public, Justice of the Peace, or a One Day Marriage Solemnizer. Other tasks include Apostille certification, administering oaths of office, registering in-state members of the clergy to perform marriages in the Commonwealth, and assistance with public records requests when necessary.
REPRESENTATIVE TASKS:
• Assist with Apostille certification services and administer the oath of office for appointed officials;
• Maintain and update various electronic databases in an accurate and efficient manner;
• Assist in the day to day operations of the office, including answering phones, responding to general inquiries through email, and assisting walk-in customers.

The Secretary of the Commonwealth's office comprises 23 departments across 19 locations around Massachusetts.
As the third-ranking constitutional officer in Massachusetts, the Secretary of the Commonwealth serves as the chief election officer, chief information officer, and chief securities regulator in Massachusetts. Additionally, the office is charged with registering business entities and lobbyists, distributing grants for historic preservation, safeguarding the state's public records and artifacts, and much more.
