Job Description

Position Summary

Incumbents of positions in this series coordinate and monitor assigned program activities; review and analyze data concerning agency programs; provide technical assistance and advice to agency personnel and others; respond to inquiries; maintain liaison with various agencies; and perform related work as required. The basic purpose of this work is to coordinate, monitor, develop and implement programs for an assigned agency.

Duties and Responsibilities

  • Coordinate and monitor program activities related to ordering/distributing of office supplies, office equipment supplies and office furniture to ensure effective operations and compliance with established standards.
  • Perform all required duties pertaining to reviewing, approving and modifying office supply orders and toner orders.
  • Assist with the management of various leased office equipment accounts and various office services accounts.
  • Assist with the procurement of various goods and services for internal divisions.
  • Prepare and submit purchase order requisitions to OREAD Fiscal for processing.
  • Maintain all records pertaining to purchase order requisitions, invoices, proposals and quotes.
  • Updating monthly reports for operational work orders and motor pool reservation system.
  • Updating spreadsheets for all Statewide office equipment, equipment lease cost, water cooler units, Proshred bins, etc.
  • Review reports, memoranda, etc. for completeness, accuracy and content.
  • Ordering, distribution and maintaining inventory of PPE supplies.
  • Maintain liaison with various vendors and contractors to schedule office services and address operational needs.
  • Perform all required duties pertaining to the oversight and administering of the departmental on-line portal request system.
  • Confer with management staff and other agency personnel in order to properly execute office moves, and special office space projects.
  • Provide contractor oversight and technical assistance pertaining to various office services, delivery of goods and office relocation projects.
  • Evaluate assigned activities in order to make recommendations concerning changes as needed.
  • Assist with moving furniture, light duty installations/repairs/de-installs and office moves.
  • Assist with the management of the MassDOT parking pass inventory and database.
  • Assist with the management of all departmental files and records in the Sharepoint drive.
  • Manage inventory of all departmental storage areas for office furniture and PPE.
  • Assisting the motor pool operations with vehicle reservations.
  • Perform motor pool driving at 10 Park Plaza as needed, including training and operation of an ADA minivan.
  • Perform all essential duties pertaining to the furniture asset management system.
  • Provide duties pertaining to processing records to be archived, destroyed, recycled, digitized and return of archive boxes.
  • Monitor and operate all mail room equipment at 10 Park Plaza Boston as needed.
  • Pick-up and delivery of special packages from various locations as needed.
  • Perform other operational duties and special projects as needed.

Qualifications

Minimum Entrance Requirements

Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions

I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.


III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
