Job Description

Duties: The schedule for this position is Monday-Friday 9X5

The non-negotiable annual salary for this position is $52,565.76 (NAGE Unit 1, Grade 15, Step 1)

Performs secretarial and clerical duties within the Director of Security's office; receives telephone calls and answers and/or refers inquires to the appropriate personnel for action; composes and types correspondence, reports, and memoranda; reviews documents for accuracy and completeness; makes computer log entries; copies and distributes correspondence and other documents; reviews and distributes incoming mail to appropriate personnel; maintains files and records such as correspondence files, confidential records, telephone call logs, etc.; prepares documents, reports, etc. with Microsoft applications; manages all visitor processing procedures to include the running of backgrounds, IMS and Securus approvals, PASS entries and organizing of files; liaison between Payroll and all MTC staff, complete overtime spreadsheet and weekly discrepancies; performs other duties as assigned.

Preferred Qualifications:

Excellent organizational skills. Experience in office supervision, procedures, and practices. Good oral and written communication skills. Ability to delegate a large amount of workload to staff. Ability to manage a large office environment. Working knowledge of the DOC Rules and Regulations. Ability to prioritize workload. Knowledge of operations of other departments in the institution through training programs and interrelated activities.

Comments:

This is a Civil Service position. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement. Applicants must have no felony convictions, to include any actions defined in 5 U.S.C. 301; U.S.C. 509, 510; 42 U.S.C. 15601-15609. The Massachusetts Department of Correction shall not hire anyone who may have direct contact with offenders, who has engaged in sexual abuse in a prison or other institution as defined in 42 U.S.C. 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph. The agency shall consider any incidents of sexual harassment in determining whether to hire anyone who may have contact with offenders or residents.

Qualifications

First consideration will be given to those applicants that apply within the first 14 days.

Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.

Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
