Overview

The administrative assistant II (AAII) will serve as a confidential assistant, provide administrative and clerical support to the associate dean and faculty as necessary. The AAII performs duties requiring a high degree of knowledge of the department and university, including considerable computer knowledge and typing skills are required. The AAII maintains the department's records and files serves as initial contact and responds to inquiries and requests from students, faculty, staff and external concerns; liaises with multiple departments and vendors as needed; supports students and student organizations; and reviews and analyzes data concerning unit activities, prepares reports, and compiles data.

Qualifications

Required Qualifications

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions below.

Preferred Qualifications

  • Budget management experience in a higher education environment
  • Previous supervisory experience
  • Ability to communicate effectively orally and in writing
  • Ability to maintain accurate records
  • Proficiency using the Microsoft Office suite
  • Familiarity with PeopleSoft
  • Ability to establish rapport and maintain harmonious working relationships with persons form varied ethnic, cultural and/or economic backgrounds
  • Ability to speak Portuguese or Spanish
  • Working Location

    This is an onsite position in Salem, MA with on-campus, in-person responsibilities.
