Job Description:

CUSTOMER:
• Manages client/ stakeholder relationships as they pertain to the assigned program or portfolio
• Works with business and technology teams to provide analysis, metrics and management reporting including insight and recommendations and creates accurate and realistic resource plans
• Conducts implementation and post implementation activities, ensuring program or portfolio deliverables are communicated and users trained, if applicable
• Manages steering committee documentation of meeting minutes, organizes program/portfolio review sessions and follows up on action items
• Participates in evaluating effectiveness of projects or programs after implementation; solicits and receives feedback from various internal areas and outside vendors, passes information to others as necessary and incorporates changes into future plans

SHAREHOLDER:
• Applies TDBG principles of project management life cycle methodologies, tools and best practices, ensuring that appropriate documentation, change and risk management practices are in place
• Works with the business, technology, finance, and project management offices to conduct analysis and create financial reports or dashboards for the program or portfolio.
• Identifies program or portfolio issues or risks to finances and works with partners to develop recommendations
• Facilitates the program or portfolio planning process including intake, prioritization and ongoing health evaluations of projects and programs.
• Develops and maintains a consolidated view to reduce the likelihood or impact of cross project issues
• Owns the accurate reporting of program or portfolio financials, health, status and other details (i.e. data quality) in the bank's enterprise reporting system, and any additional reporting within their PMO
• Ensures program reporting and appropriate documentation is properly completed (i.e. reports, change requests, presentations, invoices, correspondence / communications, tables, charts, files, etc.)
• Performs staffing/resource analysis and works closely with senior leaders to develop recommendations. Creates new or adjusts forecasting and staffing models to reflect changes.
• Provides direct support to the leadership for day-to-day analysis and reporting tasks to support overall management of the portfolio
• Creates presentation materials for stakeholder steering committee meetings that highlight key project and portfolio issues or risks for evaluation and mitigation purposes
• Utilizes project management software to create, update and maintain program schedules with new and revised work packages and plans
• Ensures dependencies and links with other schedules are established correctly, identifying conflicts and following up where required.
• Accountable for Project / Program / Portfolio documentation, including developing and monitoring the plan and milestones as required
• Utilizes the accepted Project Change Request (PCR) processes and documentation for changes to program scope
• Ensures all team members understand and coordinate input to readiness sessions
• Identifies and recommends opportunities to enhance productivity, effectiveness and operational efficiency
• Monitors quality of others' work, where applicable and checks to ensure that procedures and project and program management methodologies are followed
• Assists in developing project/program documentation
• Executes project/program management deliverables within budget and as per the approved project plan, working with business partners to develop the content of those deliverables
• Accountable for planning, monitoring and analyzing financial data and identifying issues and themes that require escalation to Project / Program / Portfolio leaders
• Reviews business cases for performance measures and analyzes financial goals of incoming projects/programs
• Facilitates monthly resource and financial forecasting
• Reviews work of other Analysts, Coordinators and conducts complex analysis and deep dive reporting to support PMO or program office financial and business management reporting needs
• Leverages tools, reporting capabilities and systems already in place that provide the required level of detail and information needed by the PMO or program office
• Ensures and owns accuracy and integrity of data quality within their PMO or program office and to the Enterprise Project Management Office

EMPLOYEE TEAM:
• May lead others in a people manager capacity and may be required to provide coaching and input into performance assessments as appropriate.
• Coordinates and oversees work of project coordinators/analysts on the team, ensuring adherence to TD project and program methodology and quality of deliverables
• Supports the leadership with training and development activities that is delivered and offered to the PMO team
• Keeps other team members informed and up-to-date about the status / progress of projects and programs, and all other relevant or useful information related to day-to-day activities
• Supports the team by continuously developing knowledge in own area and business units
• Keeps others within the PMO and internal partners informed and up-to-date on all relevant information
• Transfers knowledge and provides guidance and leadership, as appropriate, to support the business objectives of the team and related area
• Supports a positive work environment that promotes service to the business, quality, innovation, teamwork timely communication of issues/ points of interest

BREADTH & DEPTH
• Conducts analysis and provides financial reports or dashboards for the program and/or portfolio
• Analyzes portfolio data and identifies trends as an input into future practice, reporting or process improvements.
• Monitors and coordinates information across many projects to create the integrated project schedule, track milestones and dependencies
• Supports program /portfolio risk, issue and decision management
• May lead others in a People Manager capacity
• Typically reports to Program or Portfolio Management roles

Job Requirements:

  • Undergraduate degree
  • 7+ years of relevant experience
  • Strong written and verbal communication skills, including writing concise business messages, documents, creating impactful presentations, and presenting analysis to management and senior executives
  • Ability to manage multiple efforts simultaneously, strong project management, reporting, and organizational skills.
  • Demonstrated ability to participate in complex, comprehensive or large projects and initiatives.
  • Business/technology experience with experience collaborating with others in highly matrix, cross-functional environment.
  • Strong understanding of Project/Program delivery at TD, with a focus on project and portfolio financial management
  • Organizational awareness and sensitivity
  • Solution oriented, with ability to navigate the organization and make assessments and decisions with sometimes vague, incomplete, or partial context/parameters
  • Independent thinker with exceptional analytical skills and strong business acumen
  • High degree of personal initiative, with strong influencing and leadership skills
