I-9 & E-Verify Compliance Specialist
This role requires the ability to work lawfully in the U.S. without employment-based immigration sponsorship, now or in the future.
Job Summary
The I-9 & E-Verify Compliance Specialist will be responsible for all aspects off the Company's compliance with USCIS guidelines for I-9 and E-Verify. The Specialist serves as the subject matter expert and point of contact for I-9 Administrators throughout the company regarding the correct and timely completion of I-9 Sections 1 and 2, Supplement B, and creation of E-Verify cases through the Company's third-party system. This position is required to provide high-touch service to Human Resources and business leaders requesting assistance with I-9 verification and associated transactions, while maintaining Service Level Agreements and meeting USCIS compliance requirements. The position is required to meet Employee Services Center quality standards with expert and efficient customer service techniques, and the timely and accurate use of I-9 administration process resources.
Major Duites and Responsibilities
- Attain and apply expertise across multiple business systems to accurately record and manage employee data
- Manage I-9 and E-Verify processes across multiple systems, including Spectrum's and various E-verify platforms (IBM, WTW, PS RPT, and USCIS)
- Track and communicate deadlines for work authorization documents and receipts to prevent compliance issues and missed deadlines
- Ensure thorough tracking of expiring work authorization documents and communicate deadlines for reverification to employees and HR
- Deliver targeted communications and guidance to I-9 Administrators and related teams to resolve outstanding cases
- Create and deliver training presentations, and manage complex ad-hoc reporting from multiple systems.
- Generate reports on verification and compliance metrics for escalation, including actionable monthly insights for business leaders.
- Audit and correct I-9 data entry errors and internal processes to ensure compliance and system integrity.
- Research and document resolutions for complex employment authorization scenarios, ensuring adherence to federal requirements
- Respond to unique employment verification situations requiring external research on rules and regulations.
- Support legal requests and oversee compilation of documentation requirements for USCIS and DHS audits. Prepare and maintain accurate and effective templates, training documentation, troubleshooting guides, and job aides.
REQUIRED QUALIFICATIONS
Skills/Abilities and Knowledge
Ability to work a flexible schedule based on 8:00 AM ET - 6:30 PM ET, Monday - Friday
Ability to problem solve in a high-volume production oriented environment
High level of analytical, process and problem resolution skills
Clear and effective verbal and written communication skills
Ability to maintain confidentiality
Strong customer service orientation and rapid responsiveness to peer and client group needs
High degrees of attention to detail, logical thinking, and organizational skills

Hold exceptional follow-up cadence of outstanding or pending matters
Have excellent research skills
Previous experience with I-9 & E-Verify is desired
Previous experience working with a multi-state shared services organization is desired
Demonstrate proficiency in Microsoft Word, Excel and PowerPoint
Intermediate to advanced Excel preferred
Education
Associate Degree in Business Administration, Human Resources, related field; or equivalent work experience with prior customer service experience
Related Work Experience
Human Resources and/or Shared Services Operations Center experience - 2+ years
